Administrative Assistant
Location:

Washington, DC (Hybrid Office)

Reports To:

Chief Administrative Officer (CAO)

Salary Range:

$45,000 - $52,000 starting salary

Major Duties and Responsibilities

Serve as the primary responsible party for answering phone calls (mostly from the Trust’s members asking about membership information), either briefly resolving requests or directing them to the relevant party.

Staff the front desk Monday–Thursday, from 8:30 a.m. – 5:00 p.m. (with option for remote work on Fridays).

Sort and distribute email, and take email from the office to the mail room.

Inventory and proactively order office supplies.

Inventory and order office furniture and incidental office equipment.

Process and provide data entry support for a small number of donation checks.

Schedule visitors in a building management visitor portal.

Assist in scheduling meetings and setting up conference rooms for hybrid meetings.

Provide backfill support for other departmental assistants.

Organize and decorate office spaces, including supply room and kitchen.

Maintain common areas and storage areas within the Washington, DC office.

Provide accounts payable support, with training.

Provide support to the Chief Administrative Officer and other senior managers, as requested.

Provide additional administrative support as requested by other staff and departments, such as support for planned giving mailings, social media monitoring, and web-based assignments.

Required Knowledge, Skills and Experience

High school diploma required; 4‑year degree preferred.

1–2 years of internship or work experience preferred.

Experience with a CRM database, preferably EveryAction.

Knowledge of or ability to quickly learn administrative tasks and responsibilities.

Ability to quickly learn Trust staff roles, programs, and stances on issues to be able to field and direct inquiries.

Strong verbal and written communication skills.

Strong customer‑service orientation, patience and tact.

Relationship building and interpersonal skills.

Ability to juggle multiple and changing demands.

Practical problem‑solving and prioritization skills.

Communications Associate

Major Duties and Responsibilities

Proactively generate attention for the Trust, its programs and initiatives by advancing messaging that defines the brand and expands reach and impact.

Orchestrate logistics surrounding events to support Policy Department programs, such as news conferences, grassroots advocacy briefings and partner workshops.

Maintain and fulfill display advertising calendar, to include ideating copy and visuals that provide timely and meaningful updates in worthwhile outlets.

Instill processes for tracking metrics stemming from print and other non‑digital advertising, strengthen the pipeline that converts content consumers into donors.

Advance brand‑building opportunities, including paid media, content marketing, sponsorships and collaborations that introduce new audiences to the Trust’s work.

Coordinate the nomination process for the American Battlefield Trust Prize for History, working with publishers and authors to solicit and verify submissions.

Write and edit articles, emails, columns and articles about Trust activities for a variety of audiences, outlets and formats.

Ensure appropriate and consistent use of Trust brand and voice and style guide.

Create and produce physical collateral regarding Trust initiatives and programs for battlefields, historic sites and museums aligned with our mission, coordinating placement and fulfillment.

Required Knowledge, Skills and Experience

Bachelor’s degree and 3 years of experience in communications and PR, marketing, publications, advertising or other relevant creative field.

Keen interest in American history and a flair for good storytelling.

Exceptional writing abilities, including mastery of marrying tone and medium, coupled with proficiency in editing for grammar, clarity and succinctness.

Excellent organizational skills and attention to detail, especially in coordinating logistics for tangible events and products.

Demonstrated ability to balance multiple priorities and meet firm deadlines while maintaining a results‑oriented, entrepreneurial and problem‑solving mindset.

An eye for good design – ideally paired with experience in graphic design and visual storytelling platforms.

Proficiency in Microsoft Office suite required; experience with Adobe graphic design platforms desired; knowledge of Drupal CMS and digital asset management valued.

Land Preservation Grants Associate

Major Duties and Responsibilities

Compile grant applications, including information gathering for application narratives, support documentation, partner support letters, and project budgets.

Work with Trust staff and non‑profit and government partners to assemble historic significance information, mapping, and other documents supporting each grant application.

Assist with the preparation of required documentation for quarterly and annual grant reporting.

Conduct research on new federal, state, and local grant programs for battlefield, historic land, open space preservation, and environmental protection/water quality/mitigation.

Required Knowledge, Skills and Experience

B.A./B.S. degree is required.

At least two (2) years of relevant work experience is required.

Grant writing or grant administration experience is a plus.

Ability to establish excellent working relationships, be detail‑oriented, meet project deadlines, and have superior research and writing skills.

Experience working with Adobe Acrobat and the Microsoft Office Suite.

Interest and experience in the preservation of American historic sites.
