Job Summary: The Marketing Coordinator will play a key role in delivering exceptional communication and support to our referring community. This position is primarily responsible for coordinating marketing initiatives and strategies that strengthen awareness of our specialty services and deepen engagement with our partners. The Marketing Coordinator will collaborate across all areas of marketing and development, providing support for specialty referrals, client retention and growth efforts, and employee relations, as directed by leadership, while proactively expanding our network of referring partners and strengthening long‑term relationships.
In this role, the Marketing Coordinator will take an active approach to outreach and relationship management, including identifying new referring practices, maintaining consistent communication and follow‑up, and supporting initiatives that encourage ongoing engagement and utilization of hospital services.
Experience and Qualifications:
5+ years of customer service experience.
3+ years of assisting in an administrative capacity.
2+ years of specialty veterinary experience.
2+ years of direct marketing experience.
Thorough knowledge of the veterinary field.
Advanced computer skills and ability to learn new programs.
Skillful with managing social media channels.
Some graphic design experience preferred.
Creative mind with a keen eye for design.
Must be kind, sociable, and approachable, someone that thrives in public situations and enjoys building connections with new and existing partners.
Excellent verbal and written communication skills with the ability to engage and influence through meaningful interactions.
Organized, dependable, and focused with the ability to manage multiple relationship touchpoints and follow‑ups.
Physical Requirements:
Must be able to lift 30+ pounds.
Must be willing to work weekends and to work extended days/hours periodically to assist with events.
Willing to travel for hospital visits, training, and meetings as needed.
Visual acuity sufficient to maintain accurate records; recognize people and understand written directions.
Ability to speak and hear sufficiently to understand, give information in person and over the telephone.
Motor skills adequate for utilizing office equipment and technology.
Animal allergies must be controlled with medication.
Responsibilities
Marketing Outreach and Strategy
Conduct monthly visits to referring practices in alignment with specific marketing campaigns, with a focus on strengthening relationships, expanding engagement, and identifying new opportunities for collaboration.
Research and identify new referring practices and community partners, developing thoughtful approaches to initiate and nurture relationships.
Maintain an active and organized pipeline of referral relationships, including tracking engagement, follow‑ups, and opportunities for continued connection.
Conduct consistent follow‑up with referring practices after visits, events, and key interactions to reinforce relationships and support ongoing engagement.
Partner with leadership to prioritize outreach efforts based on hospital goals, referral trends, and growth opportunities.
Gather insights from referring partners to better understand their needs, preferences, and experiences, sharing feedback to inform hospital strategy.
Help organize and prepare client and PDM gifting for various projects, ensuring thoughtful and personalized engagement.
Assist in the planning and execution of CE events and community involvement, representing the hospital in a professional and approachable manner while building new connections.
Work with vendor representatives on event opportunities and support, maintaining strong, collaborative relationships.
Maintain all social media channels and identify inventive ways to foster engagement and connection with client and referring communities.
Assist in digital communications and campaigns to highlight services, increasing awareness and encouraging ongoing engagement.
Evaluate referral reports and remain knowledgeable on trends to identify opportunities to strengthen relationships and expand partner engagement.
Create marketing materials and resources that effectively highlight services and support ongoing outreach and conversations with veterinary communities.
Support referral and growth objectives by increasing awareness, strengthening partner loyalty, and encouraging consistent utilization of hospital services.
Operations and Team Support
Be knowledgeable of referral responsibilities and be willing to assist as needs arise.
Assist in dispersing new protocols as it pertains to referral processes and communications with veterinary communities. Be available for questions concerning protocols.
Advocate for proper implementation of new and existing protocols as it relates to referral management.
Attend meetings as requested by management and committees.
Focus on strategies to foster the wants and needs of our team, promoting employee engagement and loyalty.
Stay involved with employee events and awareness programs, assisting management and taking lead with special projects when asked.
Assist in communications to the team regarding special events and other situations, as needed.
Set a positive example for colleagues in how we should handle respectful communications with both our clients and referring community, reinforcing a relationship‑first approach.
Work to promote a positive and collaborative environment among all hospital teams, aligning efforts to support consistent outreach and partner experience.

Compensation is negotiable based on education, experience, and other relevant credentials. The hourly pay range for this position is $28.00 - $35.00 per hour.
