Marketing Operations & Project Coordinator
to play a critical role in driving the successful delivery of marketing initiatives across the organization.
In this highly visible position, you'll serve as the connective tissue between stakeholders, creative teams, vendors, and business partners—ensuring projects are prioritized, executed efficiently, and delivered on time. From managing project intake and coordinating cross-functional workstreams to tracking performance metrics and supporting operational improvements, you'll help create the processes and discipline that enable our teams to do their best work.

Responsibilities
Intake & Project Coordination
Manage and facilitate the intake process for marketing and shared services requests
Ensure requests are appropriately documented, scoped, prioritized, and routed to the appropriate teams
Coordinate project timelines, deliverables, and status updates across multiple workstreams
Monitor project progress and proactively identify risks, dependencies, or schedule impacts, and proactively follow up with stakeholders to maintain accountability and execution discipline
Support project kickoff, planning, and stakeholder communications throughout the project lifecycle
Workflow & Operations Support
Assist with resource tracking and project workload visibility; Maintain visibility into creative team workload and resource availability to inform and assign project assignments, prioritization, and delivery planning
Maintain project plans, work management systems, and operational documentation
Ensure projects follow established governance, processes, and service delivery standards
Support process improvement initiatives and identify opportunities to enhance operational efficiency to improve consistent execution and participation
Coordinate onboarding and engagement activities for agencies, contractors, and external partners
Track contract renewals, statements of work, invoices, and vendor deliverables
Partner with Procurement, Finance, and business teams to support vendor management activities
Maintain documentation related to external partners and project budgets
Reporting & Analytics
Reporting & Analytics
Develop recurring reports and dashboards to provide visibility into project demand, throughput, and delivery status
Track key operational metrics and assist with reporting on team performance and workload trends
Support data collection and analysis for leadership reviews and planning discussions
Maintain accurate project and operational records
Qualifications
Required
Bachelor's degree in Marketing, Business, Communications, Project Management, or related field
5+ years of experience in project management, marketing operations, business operations, or a related discipline
Experience coordinating projects across multiple stakeholders and teams
Strong organizational and time-management skills
Proficiency with project management tools such as Asana, Workfront, Monday.com, Jira, or similar platforms
Experience with Excel and basic reporting
Excellent written and verbal communication skills
Preferred
Experience supporting marketing, creative, digital, or shared services teams
Experience working with vendors, contracts, or procurement processes
Familiarity with KPI reporting and dashboard development
Experience supporting process improvement or workflow optimization initiatives
