Executive Assistant / Investor Relations Coordinator

We are seeking a highly organized and detail-oriented professional to support the Investor & Public Relations team. This role serves as a key point of coordination for executive-level administrative support, investor communications, event planning, and day-to-day operational activities. The ideal candidate thrives in a fast-paced corporate environment, handles confidential information with discretion, and excels at managing multiple priorities.
What You'll Do:

Serve as the primary point of contact for investor inquiries and external communications.
Coordinate investor relations activities, including meeting logistics, calendars, travel, and event planning.
Maintain the Investor Relations CRM database, ensuring accurate tracking of meetings and investment community interactions.
Prepare and distribute analyst report summaries and executive communications.
Support the Senior Vice President of Investor & Public Relations with presentations, PowerPoint materials, graphics, and special projects.
Manage complex executive calendars, scheduling meetings with internal and external stakeholders.
Coordinate domestic and international travel arrangements.
Process expense reports in accordance with company policies.
Handle confidential information with professionalism and discretion.
Assist with office administration, visitor reception, mail distribution, and general team support.
Organize and prioritize multiple projects while maintaining exceptional attention to detail.
What We're Looking For:

1–2 years of executive or corporate office administration experience, preferably supporting executives or Investor Relations teams.
Bachelor's degree from an accredited college or university, or an equivalent combination of education and experience.
Strong organizational and time management skills with the ability to prioritize competing deadlines.
Excellent written and verbal communication skills.
High level of professionalism, diplomacy, confidentiality, and discretion.
Exceptional attention to detail and commitment to accuracy.
Ability to work independently while collaborating effectively with cross-functional teams.
Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
Experience coordinating executive travel, calendars, meetings, and expense reporting.
Preferred Qualifications:

Experience supporting Investor Relations, Executive Leadership, Corporate Communications, or Public Relations teams.
Familiarity with CRM systems and executive reporting.
Experience coordinating corporate events, executive meetings, and investor-facing events.
