REPORTS TO: Young Eisner Scholars (YES) New York City Director of Programs
STATUS: Part-time, In-Person (Work will be performed at the YES office located in the NYC metropolitan area, as business needs require; with approval, other work may be performed at approved remote locations, including your home.)
ORGANIZATION OVERVIEW:
Young Eisner Scholars (YES Scholars) is a 501(c)3 nonprofit organization with over two decades of education development work in low-income communities in Los Angeles, New York, Chicago, and rural Appalachian North Carolina, working to improve college acceptance and completion rates and expand access to higher education for historically marginalized students. YES identifies high-potential students from under-resourced communities and provides them with the long-term support, resources, and educational access required for success through high school, college, and career. Through social-emotional learning, family and community support, and a commitment to each student’s individual path, YES provides long-term holistic support services that meet Scholars’ college access & success needs and build cultural capital through a blend of experiential education opportunities. YES-New York City selects students in 6th grade from Title I public schools in NYC’s District 5 (Central Harlem) and supports them through high school, college, and beyond.
SUMMARY:
The YES New York City Office Manager will organize and coordinate office administration, procedures, and necessary logistics for running the YES New York Branch. Your work will allow our staff to focus on what matters most—impacting the lives of young people and engaging our amazing community in our mission.
RESPONSIBILITIES:
Monitor the YES NY Office email account for office inquiries/communications coordination with local partners.
Screen correspondence and phone calls for staff.
Order, purchase and maintain supplies and equipment for the office.
Oversee mailing and/or postage needs of the office, as well as distributing incoming mail & packages from YES mailbox to the appropriate persons.
Maintain organization, appearance, and cleanliness of the office, including pest control, any necessary maintenance or repairs, and coordinating with office maintenance staff.
Manage and coordinate organizational recordkeeping, HR duties, and employment & nonprofit compliance matters pertaining to NYC Branch with the National Operations Director.
Coordinate with YES NYC staff members and the Data & Impact Manager to support YES NYC Branch data health and database maintenance and accuracy.
Act as liaison with students, families, office vendors, service providers and partner schools.
Act as the liaison with the landlord of the YES office space, as well as any additional programming spaces required regarding requests for weekend & event access.
Assist NY Staff with communication with school offices for student sessions.
Assist NY Staff with communication, coordination, and logistics (transportation, paperwork, etc) for virtual and in-person organization events, including college tours, field trips, cohort dinners, family mixers, graduation celebrations, peer networking events, YES Youth Leadership Board, Parent Board meetings, and more.
Assist NYC Director with implementing staff retreat.
Attend weekly meetings with the NYC staff in order to understand and help execute the regional programming goals.
Perform other responsibilities as requested, and as opportunities arise, working with the NYC Staff.
QUALIFICATIONS:
At minimum, high school diploma or equivalent, supplemented by additional training in office organization and secretarial skills.
Strong organizational and time management skills that reflect ability to perform and prioritize multiple tasks.
Excellent written and verbal communication skills, attention to detail, ability to work well independently and as a part of a team.
Knowledge of current office methods, procedures, and equipment, including receptionist and telephone techniques.
Keyboard a net corrected speed of 50 words per minute.
Ability to adapt to changing priorities and learn new software as needs arise
Excellent judgment and creative problem-solving skills
Proficiency with Microsoft Office Suite and Google Suite
DESIRED QUALIFICATIONS:
Spanish language proficiency & ability to translate both written and verbal formats
Sa lary: $17/hour
