The Marketing Operations Manager leads the systems, data, workflow, and operational infrastructure that supports the Marketing & Communications department. Reporting to the Director of Marketing & Communications, this position owns the infrastructure, processes, and reporting that power the Foundation's marketing performance, audience engagement, and lifecycle communication efforts.
This role bridges systems, analytics, operational execution, and cross-functional data workflows by managing marketing technology platforms, maintaining data integrity, improving workflows, implementing lifecycle infrastructure, and ensuring the organization has accurate, actionable visibility into marketing performance.
The ideal candidate is highly organized, analytical, systems-oriented, and comfortable building structure in a fast-paced, mission-driven environment. This person should thrive in environments where processes, systems, and ownership need to be clarified, improved, and operationalized.
Initial Priorities This role will initially focus on stabilizing and improving the Foundation's marketing and constituent data ecosystem, including Luminate Online, Raiser's Edge integrations, audience segmentation, reporting reliability, data flows, and related operational processes. As foundational systems mature, the role will expand into broader marketing operations responsibilities including lifecycle marketing, attribution, dashboarding, cross-channel visibility, and marketing performance infrastructure.
During the first 12-18 months, primary areas of focus are expected to include:
Marketing systems administration and integration management
Luminate Online optimization and support
Data integrity and synchronization between systems
Audience segmentation and lifecycle foundations
Reporting reliability and operational visibility
Marketing workflow and process stabilization
As systems mature, the role will evolve toward broader marketing operations responsibilities.
Essential Duties & Responsibilities
Systems Management, Infrastructure & Data Integrity
Administer and optimize marketing technology platforms and integrations, including Luminate Online, Omatic, email, analytics, workflow, and related marketing systems that connect with Raiser's Edge.
Manage and maintain integrations and data synchronization between platforms to ensure constituent, campaign, and reporting data remain accurate and reliable.
Own the build, configuration, functionality, and data flow of marketing and fundraising forms across the organization's marketing and fundraising technology platforms.
Monitor and maintain data hygiene, segmentation integrity, and audience consistency across systems.
Troubleshoot operational and systems issues in collaboration with IT staff, external vendors, and platform partners.
Maintain and improve operational workflows and intake processes across the Marketing & Communications department.
Design and optimize operational workflows, automations, and processes that improve efficiency and consistency across the marketing department.
Maintain marketing platform standards, including tracking structures, naming conventions, documentation, and governance across marketing-owned systems.
Oversee user access and permission requirements across marketing-owned systems and tools in partnership with IT and system administrators.
Evaluate marketing technology platforms, tools, and operational processes and recommend improvements that increase efficiency, usability, reporting reliability, and organizational effectiveness.
Lifecycle Infrastructure & Audience Operations
Build and maintain lifecycle marketing infrastructure, including automation workflows, triggers, suppression logic, audience segmentation implementation, and journey support within marketing platforms.
Implement lifecycle and segmentation strategies developed in partnership with Content and Program Marketing Managers.
Ensure audience flows, automation rules, and constituent experiences function correctly across systems.
Support the ongoing optimization and operational performance of lifecycle marketing journeys and audience engagement programs.
Monitor audience overlap, segmentation integrity, and operational consistency across campaigns and channels.
Analytics, Tracking & Performance Visibility
Manage analytics and tracking systems, including Google Analytics 4, Google Tag Manager, Search Console, platform pixels, and campaign attribution infrastructure.
Define and implement measurement, tracking, attribution, and reporting requirements for campaigns, forms, automations, and audience initiatives, ensuring accurate cross-channel visibility across marketing efforts.
Develop, automate, and maintain dashboards and reporting systems that provide visibility into:
campaign performance
audience growth
engagement trends
lead generation
conversion activity
lifecycle performance
Partner with marketing leadership to define, maintain, and operationalize KPI frameworks, reporting standards, and actionable performance insights.
Proactively identify:
reporting inconsistencies
tracking gaps
data issues
operational inefficiencies
Maintain clarity around system "sources of truth" and resolve discrepancies between reporting platforms when needed.
Email Operations & Deliverability
Monitor and maintain email platform health, including:
deliverability
unsubscribe trends
bounce rates
list quality
audience fatigue
Ensure email tracking, tagging, and segmentation standards are implemented consistently across campaigns.
Maintain and improve email-related operational processes and infrastructure.
Support ongoing optimization of email performance, deliverability, and audience engagement from a systems perspective.
Workflow, Process & Cross-Functional Collaboration
Serve as the operational liaison between Marketing, Development, Database Administration, IT, Content, and external vendors to ensure workflows, data flows, system integrations, and operational processes remain aligned.
Partner with Development, Database Administration, and IT to support the effective use of constituent data across marketing, fundraising, reporting, and audience engagement efforts.
Develop and maintain documentation and standard operating procedures (SOPs) for recurring marketing operations and workflows.
Support cross-functional visibility and operational coordination across campaigns, sponsor fulfillment, reporting, and marketing initiatives.
Assist team members in understanding and properly utilizing marketing systems, workflows, and tracking standards.
Knowledge, Skills & Abilities
Strong understanding of marketing operations, lifecycle infrastructure, analytics, attribution, and performance reporting across digital channels.
Experience managing marketing technology ecosystems, integrations, and operational workflows.
Strong working knowledge of:
Google Analytics 4
Google Tag Manager
email marketing systems
CRM/data synchronization
attribution and UTM structures
Experience building dashboards and operational reporting systems.
Strong understanding of marketing data governance, tracking consistency, and operational process management.
Ability to analyze data and operational trends and translate them into practical recommendations and visibility for non-technical stakeholders.
Excellent organizational, documentation, and systems-thinking skills.
Strong communication and cross-functional collaboration abilities.
Ability to manage multiple operational priorities and projects simultaneously in a fast-paced environment.

Qualifications & Experience
Basic Qualifications & Competencies
Bachelor's degree in marketing, communications, analytics, information systems, or related field, or equivalent experience.
5+ years of experience in marketing operations, analytics, marketing technology, or related operational roles.

Experience supporting lifecycle marketing infrastructure and operational workflows.
Familiarity with nonprofit fundraising and constituent data environments.
Demonstrated ability to build operational structure, improve workflows, and maintain system integrity across teams.
Must be able to provide proof of eligibility to work in the U.S.
Preferred Qualifications & Competencies
Experience building dashboards in Looker Studio or similar visualization platforms.
Familiarity with SEO fundamentals, search visibility tracking, and website performance reporting.
Experience supporting cross-channel attribution and lifecycle marketing environments.
Google Analytics certification or comparable credentials.
Experience working within nonprofit, mission-driven, or membership-based organizations.
