Position Overview
New You Plastic Surgery is seeking a highly organized, proactive and data-driven Marketing CRM & Operations Assistant Manager to support the execution and optimization of our patient marketing, CRM, reputation management, Google Business presence, events and creative marketing operations.

This role is ideal for a marketing professional who is equally comfortable managing details, coordinating across teams, analyzing performance and identifying opportunities to improve the patient journey.

The Assistant Manager will work closely with the Marketing Director, Marketing Relationship & Business development Manager, Practice Leadership, Providers and Front-desk teams to ensure marketing programs are strategically aligned, accurately executed and delivered on time.

Job Requirements & Qualifications:

4-5+ years of experience in marketing, CRM, marketing operations or a related field.

Hands-on experience with email, SMS, direct mail and CRM platforms .

Strong project management, organization and attention to detail .

Ability to manage multiple priorities, deadlines and cross-functional stakeholders.

Strong analytical skills with the ability to interpret KPIs and identify opportunities .

Excellent written and verbal communication skills.

Experience with Symplast CRM, Modernizing Medicine, Airtable, Birdeye and Google Business Profile preferred.

Healthcare, plastic surgery, dermatology, aesthetics or medical spa experience a plus.

Proactive, resourceful and solution-oriented , with the ability to work independently.

Bachelor’s degree in marketing, communications, business or related field.

Key Responsibilities
Own the day-to-day execution and optimization of the practice CRM across email, SMS and direct mail, ensuring communications are strategic, timely, accurate and patient-focused.

Manage the New You CRM marketing calendar across Plastic Surgery, SKN SPA & Dermatology.

Develop and execute monthly patient communications, including:

Monthly newsletters

Promotional campaigns

Service/procedure communications

Event invitations

Seasonal and timely patient communications

Birthday communications

Post-procedure follow-up

Patient loyalty and re-engagement

Cross-service/cross-division opportunities

Develop and manage post-event lead follow-up programs to ensure timely conversion and continued engagement.

Develop and manage post-surgical patient outreach and communication programs in partnership with clinical and patient coordination teams.

Support medical networking communications designed to increase procedure-focused referrals and strengthen referral relationships.

Maintain accurate CRM lists, segmentation and patient communication audiences.

Ensure all CRM communications are properly proofed, tested and approved prior to deployment.

Monitor campaign performance, including open rates, click-through rates, engagement, conversions and other relevant KPIs.

Prepare a monthly CRM KPI report with key findings, insights and recommended actions.

Conduct a quarterly review of competitive CRM activity and industry trends, identifying opportunities for New You to improve patient engagement and retention.

Patient Reviews & Reputation Management
Own process for generating, monitoring and leveraging patient reviews across the organization.

Partner with medical providers, medical assistants, patient coordinators and front-desk teams to optimize patient review requests and participation.

Work with Birdeye to ensure the platform is being utilized effectively across all divisions.

Train new employees on Birdeye and the practice's review-generation process.

Monitor review activity and identify opportunities to increase review volume and quality.

Develop a weekly 5-Star Review Flash Report highlighting compelling patient reviews for potential integration into social media, email, website and other marketing communications.

Immediately escalation negative, sensitive or potentially high-risk reviews to Marketing and practice leadership.

Identify recurring themes in patient reviews and communicate actionable insights to the Marketing and Operations teams.

Google Business Profile Management
Coordinate and maintain Google Business Profiles across all New You locations and divisions.

Ensure Google Business Profile information, images, services, updates and other content remain accurate, current and brand appropriate.

Coordinate regular content and image updates across locations and divisions.

Identify opportunities to leverage Google Business Profiles to support awareness, engagement and patient acquisition.

Monitor monthly Google Business Profile engagement and performance KPIs and provide insights.

Ensure practice information is consistent across relevant marketing channels.

Event Marketing Support
Provide operational and executional support for New You events, community initiatives, networking events, conferences and marketing activations.

Support the Marketing Relationship Manager in the planning and execution of events.

Request, track and ensure the timely delivery of all event marketing collateral.

Coordinate event collateral approvals and production deadlines.

Manage marketing merchandise inventory and maintain accurate inventory levels.

Recommend appropriate merchandise quantities and items based on upcoming event needs.

Assemble and pack all event marketing materials for the event execution team.

Maintain organized event kits and reusable event materials to improve efficiency and consistency.

Support post-event lead capture and CRM follow-up.

Creative Project Management & Marketing Operations
Serve as an important operational link between the Marketing team and Creative team.

Promptly and accurately brief creative requests in Airtable with guidance from Marketing Director.

Ensure all Marketing Calendar programs, campaigns and events are correctly briefed.

Monitor project timelines and proactively identify potential delays or missing information.

Flag requests submitted with less than one month of lead time and communicate potential timing implications.

Maintain visibility into upcoming creative needs and deadlines.

Marketing Analytics & Optimization
Support the Marketing Director with ongoing reporting, analysis and optimization.

Maintain recurring marketing reports and dashboards as assigned.

Identify trends, opportunities and areas of underperformance across CRM, reviews, Google Business Profiles and events.

Translate data into clear takeaways and recommended actions.

Track campaign and program performance against established KPIs.

Maintain organized reporting files and historical performance data.

General Marketing Team Support

Support the Marketing Director and broader Marketing team on special projects and initiatives.

Assist with campaign launches, promotions, collateral, communications and other marketing priorities as needed.

Coordinate cross-functional follow-up to ensure projects remain on schedule.

Help maintain organized marketing assets, calendars, trackers and operational processes.

Proactively identify opportunities to improve the efficiency and effectiveness of the Marketing organization.
