Wayne State University is searching for an experienced Program Coordinator - Department of Oncology, Academic Affairs at its Detroit campus location.

Essential functions (job duties):

Under limited direction, coordinate office services, programs andprojects and multitask a variety of situations, responding in atimely manner to changes in priorities. The Department of Oncologywithin the School of Medicine functions as both a basic science andclinical department which requires the incumbent to exerciseindependent judgment to maximize office efficiencies in support ofthe Department’s clinical and research efforts and goals. Thecandidate will serve as the project coordinator in support of thedepartment of Oncology administration as it relates to recruitmentand academic programs, participate in assigned programs andprojects designed to achieve department goals and objectives andserve as liaison to internal and external contacts, representingthe Associate Director, Oncology Affairs and DepartmentAdministration as directed on all special programs exercisingutmost confidentiality.
Coordinate and handle assignments involving a high level oforganization, confidentiality, record keeping, attention to detailand accuracy. Monitor schedules and due dates to establishmeetings, ensure completion of tasks, and other documentationneeded to reach desired goals. Provide support in areas of academicaffairs administration for all research staff of the Department ofOncology at Wayne State University. Ensure that projects areexecuted successfully and completed within time frames to meetDepartment of Oncology and Divisional goals.
Anticipate the needs of the office and act accordingly. Assist insetting daily priorities, researching information, schedulingmeetings, establishing timelines for special projects. Serve asinformation point of service for faculty, students, staff andcommunity in the School of Medicine, DMC, Karmanos Cancer Instituteand McLaren Health System on issues pertaining to thedepartment.
Provide support and lead the initiation and implementation ofResearch Staff recruitment efforts within Academic Affairs in theDepartment of Oncology at Wayne State University, including allactions related to appointments and terminations. Ensures projectexecution, compliance with institutional standards, and effectivecommunication among faculty, staff and external partners.
Interpret procedures and processes to facilitate department goalsand make revisions as necessary. Provide sound statisticalinformation to the Department Administrator and/or KCIAdministration for him/her to make sound decisions pertaining toacademic research, teaching and clinical issues for thedepartment.
Assist Department Administration with annual budgets, professionaldevelopment plans, and special requests. Maintain original file ofall departmental agreements, memorandums of understanding, andofficial documentation.
Perform other related duties as assigned.
Qualifications:

Education : Bachelor's degree

Bachelor’s degree from an accredited college or university, Orequivalent combination of education and/or experience.
Requires advanced knowledge predominantly intellectual incharacter in a field of science or learning acquired by a prolongedcourse of specialized intellectual instruction.
Experience : Specialist (minimum 5 years of job-relatedexperience)

KNOWLEDGE, SKILLS, AND ABILITIES :

PROJECT MANAGEMENT- Ability to independently manage a variety ofprojects while ensuring appropriate tracking, quality control,follow-up and multiple deadlines are met.
WRITTEN COMMUNICATIONS - Outstanding writing skills to effectivelycommunicate to a variety of audiences in various media, includingweb, letters, evaluations, reports, program summaries.
SELF STARTER - Must be able to work independently in a highlyorganized, detail-oriented, fast-paced environment.
INTERPERSONAL SKILLS - Outstanding interpersonal abilities to buildcooperative, effective relationships, facilitate communication andunderstanding among faculty members. Maintain professional decorumat all times in terms of poise, appearance, language,confidentiality, punctuality, and customer service to both internaland external constituents.
TEAMWORK - Demonstrated teamwork skills including ability to buildconsensus, anticipate problems and difficult situations, anddevelop mutually agreed-upon strategies and/or solutions.
TECHNOLOGY SKILLS - Be proficient in Microsoft Office platformincluding Word, PowerPoint, Excel, Access, Outlook, and theInternet. Extensive knowledge and hands-on use of Universitysoftware platforms such as Banner and Web time entry is aplus.
PROBLEM-SOLVING SKILLS- The ability to identify and resolveproblems in a timely manner. Gathers and analyzes informationskillfully.
PLANNING/ORGANIZING SKILLS- Prioritizes and plans work activities;adapts for changing conditions. Develop strategies to achieveorganizational goals. INITIATIVE- Takes independent action.Demonstrates persistence and overcomes obstacles.
