The Marketing Operations & MLR Specialist is responsible for the day-to-day management of CND’s marketing material review and approval processes, serving as the primary operational owner of Veeva Vault PromoMats and coordinator of the Medical, Legal, and Regulatory (MLR) review process.
The role manages materials through the submission, review, revision, approval, release, and expiration; maintains accurate documentation and version control, and provides project management support across Marketing initiatives, including timelines, meetings, status reporting, and cross-functional coordination.
The ideal candidate is highly organized, proactive, detail-oriented, and an effective communicator who can manage multiple priorities and drive work forward in a fast-paced, regulated environment.
The ESSENTIAL FUNCTIONS

Serve as the day-to-day operational owner and primary point of contact for Veeva Vault PromoMats
Manage the end-to-end workflow for promotional materials, including submissions, review routing, revisions, resubmissions, approvals, release, and expiration
Coordinate MLR reviews across Medical Affairs, Legal, Regulatory, Compliance, Marketing, Sales, Clinical Services, and other stakeholders
Manage MLR review calendars, timelines, reviewer assignments, meetings, agendas, decisions, and action items
Monitor material status and proactively communicate progress, outstanding actions, risks, and next steps
Maintain accurate version control, metadata, approval documentation, and final approved records
Coordinate release and expiration of approved materials
Interface with Veeva Managed Services on system updates, workflow issues, enhancements, and process improvements
Troubleshoot day-to-day PromoMats issues and coordinate resolution with Veeva and internal stakeholders.
Maintain PromoMats processes, documentation, and best practices and serve as an internal resource for users

The MLR Reporting & Process Optimization
Develop and maintain regular reporting on MLR activity, including material volume, review status, cycle times, timelines, and other relevant metrics
Identify trends, bottlenecks, and opportunities to improve efficiency and effectiveness of the MLR process
Recommend and implement process improvements in collaboration with Marketing and other cross-functional stakeholders
Monitor adherence to established MLR processes and timelines, elevate risks or recurring issues, and provide leadership with visibility into MLR activity, performance, priorities, and opportunities for improvement

The References & Claims Management
Own and maintain the centralized marketing references and claims library, including source documentation, approved claims, and supporting substantiation
Maintain visibility into approved claims, supporting evidence, and any applicable limitations or requirements
Support Marketing and cross-functional teams in identifying appropriate references and previously approved claims for new and updated materials

The Marketing Project Management & Coordination
Support the planning and execution of Marketing initiatives and cross-functional projects
Develop and maintain project plans, timelines, milestones, deliverables, and action items
Coordinate project activities across internal teams and external partners to keep work on schedule
Schedule and facilitate project meetings and working sessions
Prepare agendas, organize materials, document decisions, and distribute meeting notes and action items
Maintain clear project status updates and communicate progress, risks, dependencies, and next steps

Coordinate production, printing, and distribution of approved marketing materials in partnership with Logistics and external vendors
Maintain visibility into material inventory and upcoming needs
Coordinate vendor production specifications, timelines, and deliverables
The KNOWLEDGE, SKILLS AND EXPERIENCE
3–5 years of experience in marketing operations, project management, marketing, communications, or a related field; healthcare, diagnostics, life sciences preferred
Experience managing or coordinating MLR review and approval processes strongly preferred
Experience with Veeva Vault PromoMats strongly preferred
Strong project management skills, with the ability to develop project plans, manage timelines, track deliverables, and keep projects moving
Excellent written and verbal communication skills, with the ability to communicate clearly and effectively with diverse stakeholders
Exceptional organizational skills and attention to detail
Highly proactive and dependable, with strong follow-through and the ability to anticipate needs
Ability to manage multiple priorities and projects in a fast-paced environment
Strong interpersonal and collaboration skills with the ability to work effectively across functions
Proficiency with project management and business tools such as Asana, Microsoft Office, Salesforce, and related platforms
The EDUCATION, CERTIFICATIONS AND LICENSES
Bachelor’s degree in Marketing, Communications, Business, or a related field required
