Texas Health Action is hiring: Contract Production Vendor: Photography, Videogra

Texas Health Action (THA) is a community-informed non-profit organization dedicated to providing access to culturally affirming, quality health services in a safe and supportive environment, with expertise in serving LGBTQIA+ people and those impacted by HIV. Kind Clinic proudly serves Texas with four locations: two in Austin, one in San Antonio, and one in Dallas plus virtual care services available to all residents across Texas. Bolstered by Waterloo Counseling Center and a team of over 250 dedicated employees and volunteers, THA aims to promote healthcare equity and accessibility throughout the state.

The organization invites qualified vendors to submit proposals to meet Kind Clinic’s photo and video production needs for September 2025 – September 2026. The purpose is to solicit competitive bids to ensure all needs are executed with the best value. Proposals are welcome from full-service vendors as well as from specialized vendors focused on individual areas of production.

Vendor Selection Criteria

• Vendors will be selected based on competitive pricing and the degree to which they meet the organization’s specific needs.
• Vendors must align with THA and Kind Clinic’s commitment to judgement-free, culturally affirming support of LGBTQIA+ people and people living with HIV.
• Vendors must be able to produce semi-explicit content (underwear, intimate poses) but no full nudity; consent is mandatory. Ideally vendors have experience in this content style and can make talent comfortable.
• Vendors must agree to the terms of THA’s General Creative/Marketing Contractor Agreement, including release of intellectual property ownership to the organization. For more information on the terms, contact the THA team.
• Priority consideration for vendors located in Austin, with ability to travel to Dallas and San Antonio for special projects.
• Priority consideration for vendors with connections to LGBTQIA+ communities in Texas (Austin, Dallas, San Antonio).

Vendor 1: Short-Term Brand Photographer Position

Kind Clinic seeks an experienced photographer to capture high-quality photo and video assets of Kind Clinic locations in Austin (2), Dallas (1), and San Antonio (1) for our brand photography library. The Kind Clinic Creative Team will schedule shoot dates in coordination with the photographer and staff.

Scope of Work

• Provide 30 assets per city (90 total) of Kind Clinic buildings and staff.
• File Formats: Final Photography in JPEG/PNG; Raw Photography: RAW formats; Raw Video: Apple ProRes 422 HQ or equivalent.
• Style & Tone: Reflects Kind Clinic’s friendly, LGBTQIA+ affirming, authentic brand experience with a uniquely queer aesthetic and welcoming staff.
• Locations: On-site at Kind Clinic locations in Austin, Dallas, and San Antonio.
• Talent & Coordination: Kind Clinic’s Creative Team will coordinate staff and location availability.

Timeline & Turnaround

• Shoot: September – October
• First Proofs: Early November
• Final Delivery: December 1, 2025
• Revisions: 2 rounds of revisions on photography selection and color correction.

Vendor 2: Campaign Photographer/Videographer

Kind Clinic seeks experienced Photographer/Videographers to capture high-quality photo and video assets for Kind Clinic's quarterly PrEP acquisition campaigns. The ideal vendor would be on retainer for multiple quarters, starting immediately. Individual photographers/videographers or production teams are welcome to apply.

Scope of Work (per Quarter)

• Deliverables: 30–50 total assets (primarily photos with some video), raw and color-corrected outputs. Video content may require in-video audio or voiceover.
• File Formats: Final Photography JPEG/PNG; Raw Photography: RAW formats; Raw Video: Apple ProRes 422 HQ or equivalent.
• Style & Tone: Imagery of LGBTQIA+ lifestyle to promote sexual-health services; some campaigns may require NSFW-lite or documentary-style aesthetics.
• Locations: Quarter-dependent; likely THA-provided studio, rented spaces, or public locations. Majority Austin-based with potential travel within Texas.
• Talent & Coordination: THA Creative Team will provide input on casting and budget for wardrobe/props.

Timeline & Turnaround

• Shoots: Quarterly
• First Proofs: 6 weeks from publish date
• Final Delivery: 1 month from publish date
• Revisions: 1 round of revisions for color correction on photos

Vendor 3: Video Series Videographer/Video Editor

Kind Clinic seeks experienced Videographers and Video Editors to produce episodes of Kind Clinic's Navigaytion series. This is a monthly project requiring both videography and video editing services. Vendors may apply for either or both services.

Navigaytion Episodes

• Starting in August 2025, Navigaytion will shift to social-focused episodes and de-prioritize long-form YouTube episodes. Full episodes and teaser social content are linked for reference.

Scope of Work

• Deliverables: 3–4 short-form episodes per month (30 seconds to 3 minutes); final exports sized for Instagram Reels/TikTok; raw principal and b-roll footage provided.
• Final Delivery Specs: .mp4 (H.264); 4K, vertical-optimized; aspect ratios 9x16 and 4:5; Raw Video: Apple ProRes 422 HQ.
• Style & Tone: Each episode features THA CEO Christopher Hamilton and a guest discussing queer sexual health topics with engaging, playful editing.
• Locations: On-location in Austin at a THA studio, with potential travel to Dallas or San Antonio.
• Talent & Coordination: THA Creative Team handles scripting, casting, and set details.
• Resources: THA resources including stock photography, sound subscriptions, and some equipment may be available to editors.

Timeline & Turnaround

• Shoots: Monthly
• First Proofs: 2 weeks before publish date
• Final Delivery: 5 days before publish date
• Revisions: 3 rounds of revisions

Usage & Rights

Final assets will be used in organic and paid social, paid and out-of-home advertising, print, digital, and more. Unlimited usage rights are granted in perpetuity. Videographer/Video Editor must sign NDA if applicable. Talent must sign image release and NDA if applicable.

Requirements

Vendors can apply by submitting a proposal for the Contract Production Vendor position, including:

• Information about experience and ability to meet the requirements
• References to relevant work demonstrating style and quality
• Ideal retainer length (one quarter, multiple quarters, one year, etc.)
• Overall rate for the position including travel expenses
