Job Description Our growing dental office is looking for a

Patient Care & Marketing Coordinator

who’s equal parts people‑person and creative thinker. If you love connecting with patients and you’re excited to bring fresh marketing ideas to life, this dual role is perfect for you. You’ll handle front desk responsibilities while also helping grow our practice through social media, community engagement, and marketing projects you can proudly add to your portfolio.

We’re looking for a self‑starter who’s enthusiastic, organized, and genuinely enjoys making people feel welcome. Someone who’s excited to jump in, try new things, and help shape the voice, personality, and presence of our practice. Prior dental experience is a plus, but not required — what matters most is your energy, creativity, strong communication skills, and willingness to learn.

You’ll collaborate with everyone on our team, but you’ll work most closely with our Office Manager and Marketing Specialist. Strong communication, teamwork, and a positive attitude will be key to thriving in this role.

Patient Care & Front Desk Management

Greet and welcome patients and visitors in a friendly, professional manner

Answer phone calls, schedule appointments, and manage the front desk workflow

Verify insurance information, collect co‑pays, and accurately maintain patient records

Process check‑ins and support referrals to/from other healthcare providers

Assist with patient inquiries and provide clear, compassionate communication

Manage appointment reminders, follow‑ups, and administrative documentation

Maintain a clean, organized, and welcoming front desk area

Marketing and Community Engagement Coordinator

Execute the office’s marketing strategy across digital and in‑person channels

Create monthly patient newsletters (office updates, education, promotions)

Manage and update Instagram, Facebook, TikTok, and LinkedIn

Develop creative concepts for social posts and maintain social calendar to drive visibility and increase patient growth

Take and edit photos/videos

Draft captions, schedule posts, respond to comments

Oversee the practice Smile Circle Rewards program

Track points, distribute rewards, promote the program

Plan and support office promotional events, giveaways, and seasonal campaigns

Organize 1‑2 community service activities for the office staff (e.g., food drives, school partnerships)

Identify strategic marketing opportunities to increase visibility in the community (e.g., local business partnerships, community events, sponsorships)

Assist with reputation management by encouraging and monitoring online reviews and encourage patient feedback

Make simple copy updates to the practice website (bios, hours, promotions, services, etc.)

Liaise with our web development team for any larger website changes, updates, or maintenance needs

Qualifications

2‑4 years of professional experience in marketing and/or front desk work

Excellent communication skills (written, verbal, and storytelling)

A creative thinker with a strong interest in marketing, content creation, and community engagement

Warm, friendly personality with excellent patient service skills

Comfortable multitasking in a busy office environment and prioritizing your tasks

Ability to work with external vendors and partners

Highly detail‑oriented, organized, and enthusiastic self‑starter

Proficient with basic computer programs (Google Docs, Excel, Slides)

Experience with Canva, Mailchimp, or social media management is a plus

Prior dental or medical office experience preferred, but not required

Job Type Full‑Time (Monday‑Friday)

Education A minimum of high school degree (or equivalent) is required, Bachelor’s Degree is preferred

Work Location In‑Person; Downtown Indianapolis
