Responsibilities

Enter all leads into Tripleseat and create a booking or “soft hold”. If the date is unavailable, provide alternative dates or venues for the member.

Handle private event duties including booking events, creating contracts, BEO’s, sending proposals, catering, and any other required tasks.

Maintain, update, and track event changes in Tripleseat.

Schedule and perform payroll duties as required.

Conduct sales site visits with clients, including pre‑event walk‑throughs.

Introduce the Head of Private Events when an event scope exceeds the capacity of a single space and requires a buyout.

Update internal meetings, including catering and setup, in the Event Booking System calendar.

Generate a weekly report of upcoming private events and their statuses for Operations teams and the Head of Private Events.

Collaborate with the Member Events team to prevent double bookings and overlapping event times.

Coordinate with other departments (maintenance, AV, housekeeping, etc.) to communicate event needs.

Work closely with third‑party vendors, scheduling as needed and obtaining written approval from the Head of Private Events before confirming any order that creates a financial obligation for the company.

Organize, store, and update event contracts, receipts, and other relevant documentation.

Email receipts to clients after events and address any questions or concerns promptly.

Maintain positive attentiveness to service, responding positively to guests’ needs and ensuring timely resolution of issues.

Ensure client confidentiality is maintained at all times.

Manage the schedule to be at the appropriate property as per the schedule.

Perform other duties assigned by the Head of Private Events.

Experience Required

Proficiency in Tripleseat software.

Working knowledge of Outlook, Excel, Word, InDesign, and Adobe software.

Flexible schedule including day, shift, evening, holiday, and weekend work.

Ability to multitask and work in a fast‑paced environment.

Strong written and verbal communication skills.

A sophisticated communicator with high performance standards, excellent problem‑solving, and listening skills.

Salary & Compensation Base salary: $70,000 plus commission.

Pay Range: $70,000—$70,000 USD (in accordance with New York law; amount may vary by geography).
