8:00 AM – 5:00 PM Position Overview As a key member of the Talent Acquisition Center of Excellence, the Pre-Employment Specialist is responsible for conducting high-volume, compliant background checks and pre-employment screening activities for prospective hires. This role plays a critical part in ensuring safe, legally compliant, and informed hiring decisions by evaluating criminal history, employment and education verification, drug testing, and related screening components.
This is a
high-volume role , and experience in fast-paced screening environments is strongly preferred.
Key Responsibilities Background Checks & Screening
Conduct comprehensive pre-employment background checks, including criminal history reviews, employment and education verification, and drug testing.
Evaluate screening results and complete individualized assessments to determine candidate eligibility.
Utilize screening tools, databases, and vendor platforms to collect and validate candidate information.
Candidate & Stakeholder Communication
Serve as the primary point of contact for candidates throughout the pre-employment screening process.
Provide clear guidance and eligibility determinations based on screening outcomes.
Communicate screening results and status updates to recruiters, HR partners, and hiring leaders in a timely manner.
Recordkeeping, Reporting & Audits
Maintain accurate, up-to-date documentation of all screening activities.
Prepare and distribute background check reports for appropriate stakeholders.
Complete all required internal audits within established timelines.
Ensure strict adherence to confidentiality, data protection, and record retention standards.
Legal Compliance & Best Practices
Ensure all screening activities comply with applicable federal, state, and local regulations.
Maintain knowledge of and compliance with OSHA, EEOC, FCRA, and other applicable laws.
Uphold ethical standards and professional best practices in pre-employment screening.
Process Improvement & Metrics
Identify opportunities to improve efficiency and effectiveness of the screening process.
Track and analyze screening metrics (e.g., turnaround time, pass rates, bottlenecks).
Implement process enhancements to improve candidate experience and reduce time-to-hire and turnover.
Collaboration & Vendor Management
Partner with Recruiting, HR, and Hiring Managers to align screening outcomes with role requirements, including safety, technical aptitude, and soft skills.
Manage day-to-day relationships with third-party pre-employment screening vendors.
Required Qualifications Education
Bachelor's degree in Human Resources, Business, or related field preferred
Equivalent combination of education and relevant experience accepted
Experience
3 years of experience in pre-employment screening or HR
Prior experience reviewing and determining background check eligibility
Experience completing individualized assessments
High-volume screening experience strongly preferred
Manufacturing or industrial environment experience preferred
Regulatory & Compliance Knowledge
Working knowledge of federal, state, and local employment laws
Familiarity with OSHA, FCRA, and EEOC regulations
Technical Competencies
Proficient in HRIS and ATS systems
Strong Microsoft Office skills (Word, Excel, Outlook)
Experience with First Advantage and/or Sterling preferred
Ability to administer and document individualized background check assessments accurately
Soft Skills
Exceptional attention to detail and organizational skills
Strong written and verbal communication abilities
Sound judgment and consistent decision-making skills
Ability to manage multiple priorities in a fast-paced environment
Proactive, candidate-focused mindset
Preferred Qualifications
Certification in HR compliance or background screening
