Job Purpose / Mission / Summary The Lexmark/Xerox Bid Manager (BM) plays a critical role in the end-to-end business proposal response process. This position is responsible for managing the development of high-quality, competitive, and compliant proposal responses for enterprise customers. The Bid Manager oversees the bidding process from initial engagement through final submission and contract signing, with a strong focus on establishing trading terms. The role leverages corporate information databases and collaborates closely with sales teams and internal stakeholders to deliver winning proposals. The BM may also support additional proposal-related activities, including the creation of customized marketing materials and post-RFP requests.
Key Roles & Responsibilities / Key Job Functions The Lexmark/Xerox Bid Manager is responsible for project-managing proposals from assignment through final submission, including ad hoc post-RFP activities.
Manage the bidding process for proposals, including service solutions, process design consulting, and manufacturing services
Review Requests for Proposals (RFPs) and related documents to understand project goals, customer requirements, submission instructions, questionnaires, forms, and appendices
Communicate findings, risks, and observations clearly with sales teams
Develop and manage proposal project plans and timelines in coordination with sales leads
Identify and engage key contributors required for each proposal response
Maintain master proposal documents and manage version control throughout the proposal lifecycle
Solicit, consolidate, and review content from sales and cross-functional teams
Collaborate with North America (NA), Europe, Middle East & Africa (EMEA), and Asia Pacific (AP) sales and operations teams to develop tailored client solutions
Coordinate with Subject Matter Experts (SMEs) from Legal, R&D, Marketing, Human Resources, and other internal groups
Facilitate internal proposal reviews and ensure compliance with corporate standards and directives
Drive internal approval and endorsement processes prior to proposal submission
Perform high-quality copyediting and proofreading to eliminate grammatical, formatting, and typographical errors
Create and format final RFP responses in strict accordance with client instructions
Validate and, when applicable, endorse technical solutions
Identify and communicate trending client requirements and emerging insights to support content development
Employees at the highest authority levels may sign off on bids and proposals
Excellent time management, project management, communication, and coordination skills
Strong attention to detail with a high standard for accuracy and quality
Proactive, resourceful, and highly organized with a strong sense of ownership
Ability to quickly develop in-depth knowledge of Lexmark/Xerox products, services, and capabilities
Capable of guiding sales teams in both strategic and tactical proposal discussions
Strong collaboration skills across global and cross-functional teams
Education, Experience & Basic Requirements
Willingness to work night shift to support US and/or Canada business hours
Bachelor’s degree or higher, preferably in Business, Communications, or Journalism
At least 2–3 years of relevant work experience
Strong English communication skills (written and verbal)
Experience in copyediting and technical/business writing (preferred)
Some experience in layout or art direction is a plus
