Job Role Summary

— Responsible for end-to-end contract and database management for FBL channel partners across select distribution models, including Monobrand Xerox Concessionaires and Multibrand DTP partners (approximately 160 partners). Leads and supports global contracting initiatives aimed at optimizing internal processes, reducing operational costs, accelerating time-to-revenue, and delivering enhanced value to Xerox customers and channel partners. Operates in close alignment with the global contracting organization to ensure consistency, scalability, and operational excellence.

Purpose

— Contributes to the development and execution of global contracting initiatives that strengthen competitive advantage and effectively address both internal and external customer contracting requirement. Partners with regional legal teams and cross-functional business stakeholders to ensure efficient, compliant, and standardized support for contracting processes and strategic initiatives, in alignment with global governance and best practices.

Key Responsibilities

Create and maintain partner information in local Xerox systems, including ESAP BP ID, ESAP territory, dummy employee setup, and related contractual data

Issue and manage standard reseller agreements (CCSS, DTP, ASP, XFS Partnership), accreditations (XPPS, High-End Production, Public Procurement, L1), general terms and conditions for targets and rebates, certifications, and occasional contract amendments

Manage the end-to-end signature process for contractual documents, including follow-ups with partners and providing clarifications as needed

Draft initial working versions of standard agreements and basic non-standard terms, where applicable, for submission to the local Head of Legal for review and approval

Note: As a principle, all standard agreements are drafted by the local Head of Legal; drafting support may be provided depending on the employee’s capabilities.

Monitor and manage contract deadlines, renewals, and key milestones

Maintain a centralized repository of all contractual documentation, including signed agreements, related correspondence (letters and emails), and partner legal and commercial records (sales territories, target plans, certificates of incorporation, bylaws, management and shareholding structures, VAT details, addresses, and contact information)

Serve as the primary point of contact for central and local stakeholders on all matters related to FBL Channel Partner contract administration, including contracts, certifications/accreditations, amendments, sales territories, target plans, status updates, and legal documentation

Manage and coordinate documentation associated with global contracts

Perform ad hoc contract administration tasks, such as completing supplier information forms requested by customers

Experience with ESAP, GESTAB, SharePoint, and DocuSign is an advantage
