A prestigious members-only private club in NYC is seeking an experienced Catering Sales Coordinator. This role requires a proactive, detail-oriented professional who excels in client interaction, maintains an unwavering customer-first mindset, and thrives in a fast-paced event and hospitality environment. The Catering Sales Coordinator works closely with the Catering Sales Director and internal departments to ensure seamless communication, accurate event details, and exceptional service delivery. This position also assists with general catering operations as needed and serves as a key liaison between clients, vendors, and internal teams.

Pay: $25-27

Responsibilities
Client & Event Coordination
Deliver prompt, courteous, and professional communication while consistently exceeding client expectations.
Maintain expert knowledge of the club’s facilities, catering menus, and event offerings.
Prepare catering contracts, generate banquet event orders (BEOs), and print menus for approval by the Catering Sales Director.
Assist clients with questions, requirements, and requests in a timely and helpful manner.
Provide recommendations and resolve minor sales or customer service issues, including invoice questions.
Internal Communication & Documentation
Distribute BEOs, diagrams, and change forms to the appropriate departments, ensuring all event updates are communicated clearly and promptly.
Collaborate daily with the Catering Sales Director, Banquet Manager, Culinary team, and Operations staff to support guest needs and expectations.
Receive and review all banquet consumption reports and stand sheets before forwarding to the Director of Catering and Banquet Manager.
Maintain organized sales files and follow established office procedures.
Review event information during interdepartmental meetings to ensure accuracy and clarity.
Administrative Support
Assemble catering brochure packets and support document preparation as needed.
Collect and track event deposits and receivables.
Assist with guest follow-up to ensure event satisfaction and address any outstanding concerns.
Support planning and coordination of catered events as directed.
Provide light administrative support to the Banquet Manager when necessary.
Perform additional duties as assigned by the Catering Sales Director.
Required Qualifications
High school diploma or equivalent required; additional hospitality training preferred.
At least 6 months of hospitality industry experience.
Minimum 2 years in a sales-related role with proven success.
Ability to work independently with minimal supervision.
Strong proficiency in Microsoft Office (Word, Excel, Outlook); familiarity with POS systems a plus.
Exceptional verbal and written communication skills with strong business etiquette.
Ability to maintain professionalism, confidentiality, and discretion at all times.
Highly organized with strong attention to detail and accuracy.
Flexible schedule availability, including occasional evenings or weekends when needed.
Demonstrated ability to make sound, informed, and independent decisions.
