Receive and process requisitions for vacant or new positions.

Prepare and distribute job postings across recruitment platforms.

Maintain hiring data, timelines, and workflows in the Applicant Tracking System (ATS).

Serve as a support resource for hiring managers using the ATS.

Coordinate candidate communication throughout the hiring cycle.

Verify applicant qualifications and documentation.

Assist with background checks and employment verifications; elevate issues as needed.

Prepare and issue offer letters consistent with compensation practices.

Support salary placement processes; supervisor provides final approval.

Create and maintain hiring and onboarding reports.

Maintain electronic personnel files in compliance with record‑retention laws.

Support recruitment events including job fairs and sourcing initiatives.

Coordinate onboarding checklists and verify documentation completion.

Participate in conducting new hire orientation.

Meet with new hires to complete employment documents (I‑9/E‑Verify, onboarding forms, etc.).

Provide employment verification letters as requested.

Process employment records and personnel changes.

Generate HR reports as requested.

Serve as a support contact for time and attendance systems.

Maintain confidentiality of all employee data and HR information.

Coordinate immigration processes for international employees.

Manage documentation for employment‑based visa petitions (e.g., H‑1B, J‑1, permanent residency).

Track visa status, expiration dates, and work authorization timelines.

Ensure compliance with federal employment‑eligibility requirements (I‑9/E‑Verify).

Maintain confidential immigration documentation per federal regulations.

Notify supervisors of upcoming deadlines or compliance concerns.

Respond to employee questions regarding immigration documentation; elevate legal or complex questions appropriately.

Monitor and respond to inquiries sent to the HR department inbox; route inquiries as needed.

Assist with volunteer background‑check processing and documentation.

Provide customer‑service support to walk‑in visitors to the HR and Business Services office.

Create and issue employee identification badges; maintain badge records.

Serve as backup for unemployment‑insurance claim processing.

Assist with HR‑related invoices and support expenditure reconciliation.

Summary The Human Resources Associate: Recruitment and Operations provides operational support for the District's recruitment, hiring, onboarding, employment eligibility, immigration processing coordination, and overall HR operations.

This position manages job postings, applicant tracking, candidate communication, onboarding documentation, immigration‑processing support, and employment record maintenance. Work is performed under the direction of the Assistant Supervisor of Human Resources: Employee Engagement and Workplace Culture.

The role supports Vision 2031 by helping attract, onboard, and support staff who contribute to an inclusive, innovative, and student‑centered learning environment.

Essential Functions A. Recruitment & Hiring Support

B. Onboarding & New Hire Processing

Education

Associate's degree required

in Human Resources, Business Administration, Public Administration, or a related field.

Bachelor's degree preferred.

Experience

Two (2) years

of human resources support experience required.

Experience with recruitment processes, ATS systems, or onboarding preferred.

Physical Requirements & Working Conditions

Work primarily performed in an office setting.

Ability to sit for extended periods and use standard office equipment.

Frequent communication with employees, applicants, and the public.

Occasional travel to district locations and recruitment events (e.g., career fairs).
