PRIMARY PURPOSE:
Organize and manage the routine work activities of the Athletic Department. Provide clerical services to the Athletic Director. Manage confidential information and frequent contact with all levels of District employees, outside agencies, Board of Trustees and the general public.
Qualifications Education/Certification:
High school diploma or GED
Special Knowledge/Skills:
Proficient in keyboarding, word processing, file maintenance, Microsoft Office software applications, and operating general office equipment.
Effective interpersonal communications and public relations skills
Effective ability to develop spreadsheets and databases using Excel software applications.
Effective math and accounting practices and procedures.
Knowledge of school district organization and operations as it relates to Athletics
Knowledge of the functions of the Athletic Office.
Ability to use personal computer and software to develop spreadsheets and databases and do word-processing
Apply extreme organizational skills
Experience:
Five years of secretarial experience, preferably in public education
MAJOR RESPONSIBILITIES AND DUTIES Records, Reports, and Correspondence
Prepare correspondence, forms, reports, etc. for the Director.
Compile pertinent data as needed when preparing various state and local reports.
Maintain physical and computerized departmental files.
Maintain athletic records as needed.
Process work orders as needed for maintenance required on athletic equipment and facilities.
Coordinate website postings for the department.
Perform administrative support and secretarial duties for Athletic Director.
Athletic Duties
Responsible for submitting all game schedules to the online ticketing system, ensuring tickets are properly set up, and following up to confirm that all information is accurate.
Responsible for entering regular/playoff games on the online ticketing site.
Coordinate with online ticketing site for season ticket holders.
Home Games: Coordinate with coaches and gate workers to hand out ticketing technology and paysheets to gate workers.
Coordinate home football game setup, including visiting team packets, Hall of Fame meals, meals for officials, VIP room setup, game-day script and agenda, scheduling EMS, and providing the current roster.
Coordinate football season Senior Night by distributing student forms to all sponsors, communicating with sponsors, and organizing the practice with students the evening before the game. On game day, coordinate with sponsors to ensure all organizations are lined up in the correct order for the on-field presentation.
Process all athletic purchase order requisitions for high School, and both middle schools. Process, place, and receive orders. Coordinate the purchasing process with head coaches and coordinators.
Travel: Process all coaches (high school, and middle schools) registrations to clinics and disbursements for expenses associated with athletic travel, cash for student meals, and entry fees for tournaments.
Coordinate letter jacket dates with the representative, process purchase orders for payment and assist with distribution of jackets when delivered.
Coordinate all workers for athletic events/games
Approve transportation requests with the Transportation Department.
Coordinate transportation requests with the Transportation Department.
Distribute passes, including district passes, Gold Cards, and Athletic Passes.
Coordinate pop up events for Gold Card sales.
Coordinate playoff game requests.
Facility Use
Coordinate after-hour athletic facility rental use of district facilities, fields, etc. and arrange to schedule the request on the appropriate campus calendar after approval from the Director.
Enter all events into calendar programs for staff to review.
Make arrangements for custodial and maintenance personnel required for facilities through applicable departments.
Process invoices for facility rentals
Summer Camps
In early spring, arrange and schedule all summer camps with each head coach.
Process payment authorizations for payments to coaches and process purchase orders for any supplies needed for camps (tee shirts, awards, etc.).
Other
Maintain a schedule of appointments for the Director.
Maintain confidentiality of information.
Work closely with Director on the Athletic Department budget.
Complete deposits and submit to the business office.
Maintain and publish athletic handbooks for coaches and students.
SUPERVISORY RESPONSIBILITIES:

Computer, printer, copier, scanner, calculator, multi-line phone.

Work prolonged or irregular hours to include weekends.
