Professional Summary The Sales Order Processing / Data Entry Specialist is responsible for accurately managing high-volume sales order entry while ensuring timely processing, compliance, and exceptional customer communication. This role requires strong attention to detail, problem‑solving ability, and flexibility to thrive in a fast‑paced, small‑team environment where priorities may shift quickly. The ideal candidate is highly organized, proactive, and committed to maintaining accuracy while supporting operational efficiency.

Key Responsibilities

Accurately enter and process a high volume of technical and custom sales orders in a timely and efficient manner.

Research and resolve order discrepancies by utilizing internal databases, email correspondence, online resources, and collaboration with appropriate internal personnel.

Track sales orders and returns through completion, proactively addressing issues that may delay processing.

Update and maintain customer kit files and verify required customer licenses for order compliance.

Release or void backorders as needed to support accurate order fulfillment.

Communicate directly with online customers to clarify order details and notify them of backorders or changes.

Coordinate order handoffs from sales and customer service teams to ensure seamless processing.

Scan, file, and maintain daily sales order documentation in accordance with record‑keeping standards.

Sort incoming mail and distribute or mail invoices as required.

Prepare and provide daily metrics and operational reports to support team and leadership needs.

Qualifications

Prior experience entering high‑volume technical or custom sales orders in a customer‑focused environment.

Strong data‑entry skills with the ability to maintain speed and accuracy under tight deadlines.

High attention to detail and commitment to quality and accuracy.

Proven problem‑solving skills with the ability to work independently and take initiative.

Excellent communication skills, including the ability to ask questions and seek clarification when needed.

Strong organizational and time‑management skills with the ability to prioritize and multitask effectively.

Proficiency with computers and standard business software.

Ability to adapt in a small‑team setting where priorities may change rapidly.

Experience with freight plane systems is preferred.

Ability to pass a 10‑key KPH test at 8,200 keystrokes per hour with a minimum of 80% accuracy.

Location This is a Contract to Hire position based out of Mukilteo, WA. The position is fully onsite.

Pay and Benefits Pay range: $19.00 – $19.00 per hour.
