Role Overview The Assistant Property Manager at Colton Commercial & Partners is responsible for maintaining the integrity of the physical asset and maximizing returns on behalf of ownership. This role serves as the central point of coordination across internal management, accounting, administration, and external ownership, vendors, and tenants — ensuring all daily, weekly, monthly, and annual responsibilities are executed with professionalism and precision.

Reporting Structure The Assistant Property Manager reports directly to the Vice President of Property Management.

Communication Responsibilities

Communicate with tenants, ownership, vendors, and supervisors professionally and in a timely manner

Maintain regular communication with the VP of Property Management, Controller, Leasing Broker(s), and Administrators to ensure efficient team and property operations

Actively participates in bi-monthly PM team meetings and comes prepared to report on relevant property updates

Respond to all tenant inquiries within 1 business day (24 hours) of initial outreach

Make contact with all tenants within the assigned portfolio on a semi-annual basis

Provide timely, proactive updates to tenants and CCP staff on ongoing projects

Available for after-hours emergency support to the maintenance team

Maintain organized tenant and vendor files including key email correspondence, quotes, and reports

Ensure work orders are closed out in a timely manner; coordinates with internal staff or vendors as needed, including processing of related invoices

Immediately reports and escalates issues related to:

Financial loss exposure

Physical safety of tenants, vendors, or employees

Tenant dissatisfaction that may lead to lease termination or legal action

Insurance, code, or lender violations

Property Responsibilities

Conduct property inspections at minimum once per month

Respond to tenant work orders promptly and ensure tenant satisfaction with the quality of completed work

Oversee all service contracts (HVAC, fire/life safety, janitorial, landscaping, trash removal, etc.) to confirm work is performed per contract terms and competitively priced

Ensure all leases are properly abstracted and entered into Yardi in a timely manner

Assist with property onboarding and offboarding processes

Ensure all vendor and tenant Certificates of Insurance (COIs) are accurate, filed, and current

Monitor tenants responsible for their own HVAC or equipment contracts to confirm maintenance and inspections are completed on schedule and backup documentation is filed

Assist with refinances, sales, and acquisitions as required (Estoppels, SNDAs, Rent Roll preparation, etc.)

Financial Responsibilities

Ensure timely rent collection and conduct regular follow-up with delinquent tenants

Issue timely demands for past‑due tenants and assist with collections for tenants in default

Prepare and present bi‑monthly delinquency reports during PM team meetings

Send timely late charge notices and rent increase notifications to tenants

Complete annual operating expense budgets

Complete annual CAM reconciliations

Review and approve invoices entered into Yardi weekly; ensure vendors are paid on time and have provided proper insurance documentation

Compensation & Benefits Colton Commercial & Partners offers a competitive compensation package commensurate with experience. The annual base salary for this position ranges from $75,000 to $100,000, with the specific offer determined based on the candidate's qualifications, relevant experience, and demonstrated capabilities. Additional benefits include option to participate in a SIMPLE IRA plan with employer match, and medical benefits stipend.

Qualifications & Skills

Minimum of 3 years of experience of on‑site commercial or residential property management

Strong leadership ability with a track record of motivating and directing on‑site teams

Excellent written and verbal communication skills with the ability to interact effectively with a wide range of stakeholders

Highly detail‑oriented with strong organizational and time management skills

Proficient in Microsoft Office Suite (Excel, Word, Outlook)

Proficient in Yardi Breeze Premier or similar property management software
