Flaherty Sensabaugh Bonasso PLLC is seeking a full-time Copy Center Clerk for our Charleston, WV Office. The Copy Center Clerk supports the firm's attorneys and legal staff by producing, organizing, and distributing legal documents for litigation, client matters, and court filings. This role manages high-volume document reproduction, scanning, and binding while ensuring accuracy, confidentiality, and timely completion of requests. The position plays an important role in trial preparation, document production, and day-to-day office services within the firm.
Key Responsibilities include the following: Document Production
Operate high-volume copiers, printers, and scanners to reproduce legal documents accurately and efficiently.
Process requests for copying, printing, scanning, and digital document conversion.
Scan documents into the firm's document management system and ensure proper indexing and file naming.
Court Filings & Legal Documents
Prepare documents for court filings, including copying, tabbing, binding, and assembling required copies.
Assist attorneys and paralegals/secretaries with preparing briefs, pleadings, motions, and discovery materials.
Ensure document formatting and assembly meet court or agency filing requirements when applicable.
Litigation & Trial Preparation
Assemble trial binders, deposition notebooks, exhibit binders, and mediation materials.
Create labeled tabs, dividers, and organized document sets for hearings, depositions, and trial preparation.
Assist with large document productions and discovery sets.
Document Finishing
Collate, staple, bind, hole-punch, laminate, and tab documents as requested.
Prepare organized document sets for internal review or client delivery.
Distribution & Delivery
Deliver completed documents to attorneys, paralegals, and staff throughout the office.
Coordinate time-sensitive copy and production requests.
Equipment & Supplies
Maintain copy center equipment and coordinate service calls when needed.
Monitor and restock paper, tabs, binding materials, and all other office and kitchen supplies.
Confidentiality & Accuracy
Handle confidential legal materials with discretion and professionalism.
Review work for completeness, accuracy, and proper organization before distribution.
Qualifications
High school diploma or equivalent required.
Prior experience in a law firm, legal office, copy center, or print services environment preferred.
Familiarity with legal documents such as pleadings, exhibits, and discovery materials preferred.
Experience with high-volume printers, scanners, and finishing equipment.
Basic computer skills including Microsoft Office and document scanning systems.
Strong attention to detail and ability to prioritize multiple time-sensitive requests.
Strong organizational and communication skills.
Physical Requirements
Ability to stand for extended periods during document production tasks.
Ability to lift and move boxes of paper or files up to approximately 30 pounds.
Frequent walking throughout the office to deliver documents.
