Position Summary UB Associates is seeking an HR Coordinator supports the Human Resources function with a primary focus on recruitment and onboarding. This role is responsible for coordinating hiring activities, building and maintaining the applicant tracking system, and managing the onboarding process to ensure a smooth and positive experience for new hires. In addition, the HR Coordinator assists with day-to-day HR operations and administrative functions. The ideal candidate is organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment.
Key Responsibilities Recruitment & Hiring (Primary Focus)
Coordinate recruitment activities including job postings, candidate screening, and interview scheduling
Review resumes and conducts initial candidate outreach and phone screenings
Serve as a point of contact for candidates throughout the hiring process
Maintain applicant tracking system (ATS) and ensure accurate candidate records
Build and maintain recruiting templates, including job descriptions, offer letters, and candidate communications
Support the development and standardization of hiring processes and documentation
Assist in creating and posting job descriptions aligned with organizational needs
Identify opportunities to improve recruiting efficiency and candidate experiencePartner with hiring managers to support timely and effective hiring
Onboarding
Manage and execute the full onboarding process for all new hires
Prepare and distribute new hire paperwork and ensure completion prior to start date
Ensure compliance with all pre-employment requirements (background checks, I-9s, etc.)
Serve as the primary point of contact for new employees during onboarding
Partner with departments to ensure a smooth transition into the organization
HR Operations & Compliance
Maintain employee personnel files and ensure documentation is complete and up to date
Ensure accuracy of employee data within HRIS and other systems
Support compliance with federal, state, and local employment laws and regulations
Support policy implementation and ensure consistent application across the organization
Track and maintain required certifications, licenses, and training records (as applicable)
Assist with benefits administration and employee inquiries, as needed
Provide general administrative and operational support to the HR team
Qualifications
High school diploma or equivalent required; associate or bachelor’s degree preferred
1-3 years of HR, administrative, or recruiting experience
Strong organizational and time management skills
Effective communication and interpersonal skills
Ability to manage multiple priorities in a fast-paced environment
Proficiency with Microsoft Office; experience with ATS or HRIS preferred
