
Assistant Facilities Director

DESCRIPTION
Assists the Facilities Director in providing supervision, direction, leadership, coaching, training, and mentoring to facilities staff with a particular emphasis on custodial and grounds personnel. Serve as Acting Facilities Director in the absence of the Facilities Director. Manages the maintenance of all custodial and landscape related elements. Collaborates with the Director of Facilities and Principals in all custodial and grounds hiring, evaluating, and disciplining processes. Oversees custodial and grounds budgets and manages the procurement process. Responds to after-hours emergencies and snow removal as needed. Manages all facilities staff Time Management Systems.
SALARY Admin/Professional/Technical Pay Schedule, Range 9, starting at $8,026.41 per month (equivalent to $96,317.00 annually), depending on recent relevant experience. 8 hours per day, Monday through Friday, 260 day / 12 month work schedule. Position eligible for benefits.
Essential Duties And Responsibilities
Supervise the work and performance of district-wide custodial and grounds personnel; includes the overall management of all custodial and grounds maintenance elements. Establish and uphold performance standards, participate in evaluations and disciplining.
Oversee district-wide custodial and grounds budgets and expenses. Manage the procurement process, including the testing and evaluation of new products, purchasing of supplies, and the purchasing and maintenance of custodial and grounds equipment. Work with head custodians and grounds personnel to ensure strong purchasing practices.
Review, approve, and verify reported time in the Time Management System. Responsible for preparation and analysis of time and labor reports and complete paperwork for payment, stipends and other pay.
Prepare specifications for contract work, manage bid process, procure contracted work, and manage relations with contractors. Monitor and coordinate grounds related capital projects and any grounds related special projects.
Develop and implement standardized practices and procedures, proper cleaning methods, District cleaning standards, safety, and aerial work platforms (lift) and ATV training. Maintain training records on all facilities staff, including required and voluntary training.
Recruit, screen, and recommend for hire custodial and grounds employees. Maintain a pool of custodial candidates for advancement to regular positions and for promotions. Collaborate with Principals in required hiring processes.
Coordinate and work with administrators, maintenance staff, construction department, fire code inspectors and contractors.
Consult with design teams in developing plans for the renovation and construction of new buildings.
Assist with issues related to building or department concerns, including visiting sites during and after school hours.
Operate and inspect all grounds maintenance equipment. Ensure timely correction of any repairs. Coordinates, supervises and monitors snow removal with custodians, grounds and facilities staff and school principals.
Stay current with all pertinent laws, codes, regulations, etc., and ensure that the district programs are in compliance (e.g., OSHA, EPA, etc.).
Perform other duties as assigned or after school/work day emergencies.
Qualifications
High school diploma and five years of experience in facilities management or related experience.
Specialized courses in OSHA and safety training preferred.
Valid Colorado driver's license required.
Criminal background check required for hire.
The successful applicant will attain certification as a Backflow Preventer Tester within 12 months of hiring and certification of a Pesticide Applicator Qualified Supervisor certification within 3 months of hire.
The successful applicant will either hold a certification as a landscape industry certified technician or be willing to take continuing education efforts to attain the certification.
Experience
Five years of experience in facilities related work.
A minimum of three years of significant supervisory experience.
Skills, Knowledge And Equipment
Demonstrated proficiency in Microsoft Office Suite and Google Suite.
Communication, interpersonal, writing, basic math, basic budgeting, basic accounting, customer service, supervisory, and negotiating skills.
Ability to keep up-to-date technically and apply new knowledge to the job. Includes adapting to and mastering new system applications and processes as implemented by the district or department.
Ability to promote and follow Board of Education Policies, Superintendent Policies, and building and department procedures.
Knowledge of building and grounds maintenance and related laws, codes, and regulations.
Operating knowledge of and experience with general office equipment.
Ability to demonstrate proficiency in areas of certifications.
Problem solving and supervisory skills.
Knowledge of landscape installation and maintenance.
Ability to manage multiple tasks and priorities.
Ability to respond to after-hours emergencies as needed.
Ability to recognize the importance of safety in the workplace, follow safety rules, practice safe work habits, utilize appropriate safety equipment and report unsafe conditions.
Ability to communicate, interact and work effectively and cooperatively with people from diverse ethnic and educational backgrounds.
Supervisory/Technical Responsibility
Directly supervises 25 Head Custodians and 11 Groundskeepers; indirectly supervises all custodial personnel district-wide.
With the director, supports supervision of all facilities staff.
Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws.
Responsibilities include planning, assigning, and directing work; addressing complaints and resolving problems; training employees; and hiring, appraising performance, and disciplining.
Collaborate with School Principals in hiring, evaluating, and disciplining processes.
Acts as a resource for department and district staff regarding custodial practices, performance, issues, and questions.
