Department Overview Conference & Event Services (CES) delivers exceptional service, resources, and strategic support to events hosted on the University of Denver (DU) campus. CES cultivates partnerships across campus and with external organizations to attract high‑impact events aligned with DU’s mission. During a period of financial constraint, CES plays an essential role in generating diversified revenue streams that support DU’s strategic initiatives.
Events hosted on campus also serve as high‑value institutional touchpoints that advance student recruitment and enrollment growth, community engagement, alumni engagement, and brand visibility.
Position Summary This position will provide strategic planning, management, and execution of summer conferences for visitors, external organizations, faculty, staff, and students. Event Managers report to the CES Assistant Director, Event Operations and collaborate with other professionals at the unit and campus levels. The role requires flexibility to balance overarching DU and event strategy with managing logistical details, and is a temporary full‑time non‑benefited position not to exceed 1,000 hours in a calendar year.
Essential Functions
Event Planning & Client Management:
Conduct site tours, consult with prospective clients, determine objectives and requirements, and guide them through the full event lifecycle. Responsibilities include booking events in Momentus (EBMS), scheduling spaces in 25Live, collecting payments, and coordinating all planning elements to meet client expectations.
Event Logistics & Operations:
Oversee execution of event details such as meeting room assignments, room setups, audiovisual/media needs, dining and catering, signage, security, HVAC, grounds, and custodial services, ensuring all elements are coordinated effectively.
Space Management & Scheduling:
Assign and manage event spaces strategically to maximize venue usage, monitor event requirements alongside other scheduled campus activities, and avoid conflicts.
Collaboration & Vendor Coordination:
Work closely with university departments, campus service providers, and external vendors to coordinate services required for event execution and settlement.
Program & Administrative Support:
Assist the Assistant Director by coordinating conference logistics with service providers, guests, and other event managers; provide administrative support to CES; meet regularly with supervisor to share updates and receive guidance.
Event Oversight & Flexible Support:
Provide on‑site event oversight, supervise contracted service providers and internal staff, and fulfill additional duties as needed outside normal responsibilities, including occasional evening and weekend work.

Required Qualifications
Undergraduate Degree or Equivalent Experience.
Two to four years of related experience in event management.
Preferred Qualifications
Master’s Degree or Equivalent Experience.
Five plus years of experience managing events in an academic setting.
Certified Event Planner.
Experience with Momentus (EBMS) software.
Experience with 25Live scheduling software.
Experience in higher education.
Experience with VIP clients and high‑profile guests and/or donors.
Working Environment
Combination of standard office environment and active event environments across campus venues.
On‑site presence required to support event operations and venue oversight.
Event environments may involve elevated noise levels, large groups, and fast‑paced operational activity.
Hybrid in‑office and work‑from‑home days based on operational needs.
Evening and weekend work required during peak event periods.
Participation in an on‑call rotation may be required.
Physical Activities
Ability to sit in front of a computer for extended periods.
Ability to move around campus pending events with capability of transporting objects up to 50 lbs.
Work Schedule Flexible schedule based on event needs with some nights and weekends.
