
Property Management Assistant

Key Responsibilities: Lease AdministrationMaintain and update lease abstracts, ensuring accuracy of key lease terms, including rent schedules, escalations, and critical dates. Track and monitor lease expirations, renewals, rent increases, and tenant obligations.Prepare and analyze the financial statements, general ledgers, subsidiary ledgers, budgets, cash flow projections and review of job cost reports for assigned properties.Ensure lease compliance by reviewing tenant obligations and coordinating with property managers. Property Management SupportAssist Property Managers with daily operations of office, retail, and mixed-use Maintain tenant files (physical and digital) with accurate and organized documentation.Assist with the review of annual calculations for CAM charges, CAM reconciliations support and drafting letters/communications.Coordinate and track certificates of insurance and other tenant compliance documents.Enter and track maintenance requests/work orders in the property management system and ensure timely follow-up.Financial & Administrative SupportAssist with accounts receivable processes including rent rolls, invoicing, and payment tracking.Assist in preparing monthly management reports, including compiling lease, financial, and operational data.Prepare key account reconciliations for assigned properties.Team & Operational SupportPrepare materials for internal and client meetings, including reports, agendas, and supporting documentation.Provide back-up support for reception as needed, to include answering phones, greeting visitors, and providing accounts payable support. Assist with vendor communication and service requests. Support special projects and administrative needs for the property management team.
Qualifications13 years of experience in general administrative support. Strong attention to detail with the ability to manage and track multiple deadlines. Proficient in Microsoft Office (Excel, Word, Outlook); experience with property management software is a plus.Ability to work both independently and collaboratively in a team environment.Takes initiative and completes project assignments independently and on time.Strong verbal/written communication, interpersonal and customer service skills.Excellent organization/attention to detail, time management skills with a proven ability to meet deadlines.Strong analytical and problem-solving skills.Ability to prioritize tasks and function well in a high-paced and at times stressful environment.Ability to work without supervision in a small office environment setting.
