JOB SUMMARY:

The Sports Center Administrative Assistant is responsible for ensuring smooth daily operations of the sports facility by managing customer interactions, handling bookings and payments, maintaining accurate records, and supporting administrative and safety functions. This role requires strong organizational, communication, and customer service skills to ensure a positive experience for all clients and guests.

Respond to customer inquiries via phone, social media or email & provide quotations if necessary.

Maintains adequate inventory of sports center supplies and orders supplies as needed to HR.

Handle customer complaints or feedback, escalating to management when necessary.

Communicate and enforce policies and procedures to customers such as giving them house rules for the basketball court.

Organize calendar for bookings/reservations, coordinate & validate schedules.

Make sure the sport center attendants maintain the court and pool dry, clean and safe at all times.

Collect payments from customers and file all screenshots of payments in the google drive.

Report to accounting all payments made by all customers by sending them pictures of the bank slip or screenshot of proof of payment.

Reconcile GCASH payments bi-weekly to ensure all transactions are made.

Monitor all AYSN Sports google sheets and maintain an accurate customer director/data base.

Monitor the students/ clients who enter the swimming pool facilities.

Coordinate with the swim schools for their schedules and payments.

Perform other duties that may be assigned from time to time.

In case of emergencies, help and conduct first aid to the client in need. Call for an ambulance if necessary

Qualifications

At least 1–2 years of experience in customer service, administration, or facility operations preferred

Basic skills and rules of organized sports and recreational activities.

Safety precautions used in community service/recreation programs

Customer service principles and techniques

Basic mathematics and record keeping techniques

Strong communication, organizational and interpersonal skills.

Sales oriented mindset with customer service focus.

Organized, detail-oriented, and able to multitask

Proficiency in Google suite and Microsoft

Basic financial or administrative skills.

Must be reliable, detail-oriented, and customer-focused
