About the Role
The Communications & Events Executive supports the planning and execution of communications initiatives and events that enhance the visibility and impact of Health District @ Queenstown in our communications with internal and external stakeholders. Working closely with the Communications Lead, the role will help coordinate outreach efforts, develop content, and support the delivery of engagement activities. The individual will also work closely with the Operations team to lead smaller scale events/visits, and to support bigger scale events (e.g. international conferences).
Key Responsibilities
Communications & Outreach Coordination
Assist with administrative duties for HD@QT’s communications workstream and operations team, including maintaining stakeholder records, scheduling meetings, and tracking follow-ups.
Drive the day-to-day management of HD@QT’s communication channels (email, social media, and WhatsApp)
Monitor and respond to queries across HD@QT channels in a timely manner
Assist with the uploading, publishing, and scheduling of content across HD@QT’s social media platforms, newsletter, and website
Maintain and update mailing lists for HD@QT stakeholders and outreach initiatives
Compile monthly and quarterly analytics reports across HD@QT’s communication channels
Support HD@QT’s outreach and publicity efforts, including but not limited to the Queenstown Community Panel (QCP), to grow our audiences and actively engage them to foster participation and retention
Coordinate with internal teams and external stakeholders to facilitate community engagement activities
Content Creation & Media Support
Assist in drafting and editing communications materials including website write-ups, event posters and social media captions
Provide design and layout support for online and offline communications materials for HD@QT as well as its various projects and initiatives
Oversee the documentation of HD@QT initiatives by compiling photos, summaries, and key updates for internal and external communications
Curate, process, and organise media assets, including shortlisting and basic editing of photographs
Maintain the HD@QT image bank and ensure brand assets are updated and accessible to the team
Events & Visits Coordination
Lead the planning and execution of Health District @ Queenstown (HD@QT) engagements and programmes, including but not limited to:
Briefings to local and international stakeholders
One-day or multi-day site visits
Engagements with existing and prospective researchers, donors, and strategic partners
Coordinate end-to-end logistics for visits and events, including scheduling, programme development, speaker coordination, transportation, venue arrangements, and refreshments where required
Liaise with internal stakeholders to align schedules, programme flow, presentation materials, and operational requirements
Serve as the primary coordination point for external guests, including managing visit requests, confirmations, and pre-visit communications
Prepare and disseminate relevant materials for engagements, including presentation decks, briefing materials, and pre-reads
Maintain and update the HD@QT events/visits calendar and provide regular updates to internal teams on upcoming engagements
Support on-site execution of visits and programmes, including hosting or guiding site tours when required
Assist with documentation and capture of event assets (e.g., photos and videos) for communications and content purposes
Job Requirements
Degree in communications, marketing, or events
2 – 3 years of relevant experience in communications, marketing, or events preferred; fresh graduates are welcome to apply
Excellent written and verbal communication skills, able to convey ideas clearly and professionally
Basic proficiency in photo and video editing, with the ability to create simple visual assets (e.g. social media graphics and posters)
Familiarity with social media platforms and digital tools for content management and analytics (e.g. Google Analytics, Directus, Mautic, or similar platforms)
Highly organised and able to balance multiple tasks and projects efficiently
Confident and comfortable interacting with various stakeholders, including residents, internal teams, and external stakeholders
Proactive and committed to following through on tasks with initiative and attention to detail
Resilient under pressure and thrives in dynamic, fast‑paced environments; while remaining composed amid uncertainty
Working Location
Kent Ridge. Candidate may be required to travel around Singapore when needed.
