Licensing Representative

will serve as a licensing subject matter expert (SME) and the primary point of contact between the NSI (Nationwide Specialty Insurance) team and NF Licensing, ensuring accurate, compliant, and timely execution of producer appointments and terminations across multiple systems.

Location requirement: Must reside within 35 miles of Ohio: 1000 Yard St, Grandview Heights, OH, 43212 or Arizona: 18700 N Hayden Rd, Scottsdale, AZ, 85255. Work schedule: 2 days in office, 3 days remote. This position will be hired on a hybrid SuccessFlex basis.

Note: This role does not qualify for employer-sponsored work authorization. Nationwide does not participate in the Stem OPT Extension program.

Key Responsibilities

Act as the licensing subject matter expert for appointment and termination processes, providing guidance to NSI and related stakeholders on state regulations, internal policies, and system requirements.

Serve as the primary liaison between NSI and NF Licensing, facilitating clear communication, issue resolution, and process alignment related to licensing appointments and terminations.

Ensure appointments are executed in accordance with state insurance regulations, company policies, and carrier requirements.

Accurately update licensing systems to reflect appointment status changes, terminations, reinstatements, and related record updates.

Coordinate and reconcile appointment data across systems to ensure consistency, accuracy, and audit readiness.

Communicate status updates, issues, and resolutions effectively with NSI and other internal stakeholders.

Support periodic audits, reconciliations, and reporting relative to appointments and terminations.

Maintain detailed documentation to ensure traceability and compliance with regulatory and operational standards.

Review and process applications, registrations, appointments and maintenance requests consistent with approved standards and practices accurately and in a timely manner for multiple distribution channels.

Implement changes in insurance licensing requirements based on changes in laws, regulations, or company policies.

Maintain databases and related background information and files for assigned states, operations or distribution channel.

Receive incoming calls and requests from internal and external customers and respond in a manner that provides an outstanding customer experience.

Advise and educate customers on license requirements and the registration process, furnishing materials, and submitting forms and fees to state departments.

Assist in reviewing, analyzing, and interpreting licensing laws and regulations, and resolve issues.

Serve as liaison between licensing and key internal and external customers in regard to license issues, providing related customer service to internal and external departments.

Meet standards of work set for the business unit, including quality assurance goals.

May perform other responsibilities as assigned.

Qualifications

Education:

High school diploma or comparable diploma required. Industry related coursework preferred.

License/Certification/Designation:

Depending on business unit supported, may be required to be fingerprinted, pass an FBI background check and be associated with Nationwide Securities, LLC as a non‑registered individual if not already FINRA registered.

Experience:

Typically 1 year of licensing or related industry experience in licensing, registration, or a technical position with the SEC, IRS, state insurance department, or compliance.

Knowledge, Abilities and Skills:

Developing knowledge of procedures related to license processing and regulatory requirements. Familiarity with licensing terminology. Ability to effectively operate a personal computer with related business and licensing software. Proficient with Microsoft 365 applications. Oral and written communication skills. Ability to interpret and adhere to licensing regulations.

Reporting Relationships Reports to Manager/Supervisor.

Job Conditions Working conditions: Normal office environment. Travel may be required.

Overtime eligibility: Eligible (Non‑exempt).

Compensation Internal Compensation Grade: C3. Expected starting salary range: $46,345.00 – $60,800.00, potential for additional sales incentives.
