A Brief Overview The Retail Program Specialist is responsible for coordinating and executing Direct-to-Retail (DTR) programs by supporting internal teams and ensuring all documentation, item setup, and onboarding requirements are completed accurately and on time. This role is heavily focused on internal execution and cross‑functional coordination (Sales, R&D, Supply Chain, Operations, Quality), with limited direct customer interaction. The Specialist supports day‑to‑day program activities by tracking deliverables, following up on outstanding actions, and ensuring all requirements are completed to enable successful product launches.

Additionally, this role will support a small portfolio of assigned customer accounts, serving as a point of contact for day‑to‑day communication, documentation, and follow‑up. The Specialist will partner closely with Sales to ensure customer requirements are met and programs progress smoothly, while escalating more complex commercial or strategic matters as needed.

Approximately 75% of this role is focused on internal coordination and execution, with 25% supporting customer communication and account coordination. This role is not responsible for owning overall program strategy or commercial decisions, but rather ensuring execution of defined processes and deliverables.

What you will do

Coordinate execution of Direct-to-Retail (DTR) programs by supporting customer onboarding requirements, documentation, and setup activities

Partner with internal cross‑functional teams (Sales, R&D, Supply Chain, Operations, Quality) to track progress and ensure timely completion of program milestones

Support customer and item setup processes, including system entries, documentation completion, and tracking required approvals

Maintain project timelines and trackers, ensuring all deliverables are completed and following up on outstanding tasks

Support a small portfolio of assigned customer accounts, serving as a point of contact for routine communication, documentation, and follow‑up on program requirements

Monitor timelines and identify delays or risks, escalating issues as needed to support timely execution

Prepare and maintain project documentation, trackers, and status updates for internal stakeholders

Support cross‑functional meetings by tracking action items and ensuring follow‑through on commitments

Support communication of project updates, risks, and next steps to internal teams and leadership

Ensure accuracy and completeness of all internal and external documentation

Serve as a day‑to‑day point of contact for assigned customer accounts, supporting communication related to onboarding, documentation, timelines, and status updates

Organise project files, forms, and tracking tools

Support standardisation of processes, templates, and documentation

Assist with onboarding new customers and supporting ongoing retail programs

Education Qualifications

Bachelor's Degree in Business, Supply Chain, or related field (Preferred)

Experience Qualifications

1-3 years in project coordination, program support, sales support, or customer‑facing operations (Preferred)

1-3 years contract manufacturing, retail sales, personal care, or beauty industry (Preferred)

1-3 years working cross‑functionally and supporting execution of projects or programmes (Preferred)

1-3 years supporting customer accounts or handling day‑to‑day client communication (Preferred)

Skills and Abilities

Organisational and coordination skills with ability to manage multiple tasks simultaneously (High proficiency)

Ability to follow through on tasks and ensure completion of deliverables (High proficiency)

Detail‑oriented with focus on documentation accuracy and tracking (High proficiency)

Effective communication skills with ability to work across internal teams and customers (High proficiency)

Ability to work in a fast‑paced, execution‑focused environment with a sense of urgency (High proficiency)

Ability to manage day‑to‑day customer communication and build working relationships with assigned accounts (Medium proficiency)

Ability to identify issues and escalate appropriately (Medium proficiency)

Proficiency in Microsoft Office (Excel, PowerPoint) and tracking tools (Medium proficiency)

Basic understanding of project or programme coordination principles (Medium proficiency)
