The Role This is not a traditional assistant role. This is a full-scope Executive Assistant position supporting a senior executive (CEO or President) across every dimension of their professional and personal life. You will be the single point of operational control — the person who ensures nothing falls through the cracks so your executive can stay focused on clients, growth, and high-leverage decisions.
On the business side, you'll manage the executive's calendar, travel, and inbox. You'll attend client and internal meetings, capture action items in real time, coordinate meeting prep, delegate with clear ownership, and follow through until every commitment is closed out.
On the personal side, you'll manage household logistics, personal appointments, family scheduling, errands, vendor coordination, and anything else that competes for the executive's time and attention. If it's on the executive's plate and it's not a strategic decision, it's yours.
The goal is simple: remove every point of friction — professional and personal — so the executive operates at the highest level possible.
What You’ll Own Business Operations
Executive calendar management, inbox triage, and travel logistics — zero scheduling conflicts, zero missed follow-ups
Attend client, internal, and executive-related meetings; capture decisions and action items in real time
Delegate action items immediately post-meeting with clear ownership
Maintain communication flow between the executive and the delivery team so that context on client history, strategy, and meeting outcomes is never lost
Act as the liaison between the executive's office and internal departments — filter noise, maintain visibility on active projects, and surface what matters
Track all project progress proactively
Support the executive's professional network, podcast logistics, media engagements, and event coordination as needed
Personal & Life Management
Manage the executive's personal calendar, appointments, and family scheduling alongside business commitments — everything lives in one system, and you own it
Coordinate household logistics: service providers, maintenance schedules, vendor management, reservations, and personal errands
Handle personal travel planning end-to-end — flights, accommodations, dining, itineraries, and contingency plans
Manage gift purchasing, personal correspondence, and relationship touchpoints
Anticipate personal needs the same way you anticipate business needs — proactively, not reactively
Serve as the catch-all for anything that pulls the executive away from high-value work or personal priorities

You manage a high volume of moving parts simultaneously with sharp attention to detail and airtight follow-through

You stay composed and effective in a fast-moving environment where priorities shift quickly
You sit in high-level client and strategy meetings without being the subject matter expert — and still capture what matters and drive execution from it
You treat personal tasks with the same professionalism and urgency as business tasks
You take ownership of outcomes, not just tasks — if something isn't done, it's on you until it is
Requirements
3–5 years of experience in executive support, operations coordination, or project management
Experience supporting an executive in both professional and personal capacities is strongly preferred
Experience in financial services or professional services is a plus but not required
Solid computer skills with a willingness to learn Artificial Intelligence
Must be based in or willing to relocate to Tampa, FL — this is an in-person role
