Assistant Property Manager- One Light

Summary The Assistant Property Manager will be responsible for effectively computing, classifying, and recording numerical data to keep financial records complete while assisting with leasing, marketing, and resident relations for the community. The entrant will perform routine calculations, postings, and verifications to make payments to vendors, process resident rental payments, and obtain primary financial data for use in maintaining property accounting records. All business is conducted in accordance with company policies and procedures, Fair Housing, Americans with Disabilities Act, Fair Credit Reporting Act, and all other laws pertaining to apartments.

Essential Duties & Responsibilities Income Collection

Maintains accurate resident records; updates rents, deposits, application fees daily.

Issues notices when necessary (late payments, eviction notices, returned check memos).

Resident Relations

Maintains a positive customer relations attitude.

Inspects property, picks up litter, reports service needs; inspects move‑outs and vacancies when requested.

Regularly attends and promotes resident events.

Marketing

Knows all phases of leasing and resident retention.

Works with lease renewals each month.

Greets prospective clients, shows the community, and performs leasing duties as needed.

Answers and handles incoming phone calls from prospective new residents, current residents, vendors/suppliers, etc.

Maintains awareness of local market conditions and trends and contributes ideas to the Community Manager for marketing the property and improving resident satisfaction.

Administrative/Leasing

Updates required reports concerning move‑out notices and activities daily and provides information to the Community Manager.

Organizes and files all applicable reports, leases, and paperwork.

Proofreads lease paperwork and processes move‑ins and move‑outs.

Processes all security deposit move‑out reports.

Updates board indicating vacancy status daily and coordinates with maintenance and make‑ready staff to ensure timely reconditioning of apartments after move‑out.

Accepts service requests from residents and routes them to maintenance for prompt processing; conducts follow‑up with residents when work is completed.

Completes lease applications, assists with verification, and notifies prospective residents of results; types miscellaneous resident communication as needed.

Completes all lease paperwork, including addenda, and accepts rents and deposits.

Coordinates additional property management software training and schedules industry training.

General

Performs any additional duties assigned by Community Manager or Property Supervisor.

Knowledge of Fair Housing rules and regulations.

Assertive with excellent interpersonal and communication skills.

Projects a professional appearance at all times.

Lease‑up experience strongly preferred.

Outstanding customer service skills.

Excellent written and oral communication skills.

Knowledge of computer operating systems (Microsoft Word, Excel, PowerPoint, etc.).

One‑Site knowledge is preferred but not necessary.

Ability to work weekends.

Supervisory Responsibility This position has supervisory responsibilities over leasing agents and front desk in the absence of the property manager.

Education & Experience

1-2 years of Luxury Assistant Property Manager experience within multifamily housing strongly preferred.

High school diploma required.

Working Conditions This job operates in a professional office environment and routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

Physical Demands The Office Support Worker will spend long hours sitting and/or standing using office equipment and computers, which can cause muscle strain. They may also be required to do light lifting of supplies and materials up to 35 lbs from time to time.

Environmental Conditions The Office Support Worker may have to manage multiple projects concurrently and may be interrupted frequently to meet the needs and requests of residents, clients, and contractors. The environment may be busy, noisy, and require excellent organizational and time‑management skills to complete required tasks.

Sensory Demands Sensory demands include use of the computer, which may cause eye strain and occasional headaches. The office may be noisy and busy, making it difficult to concentrate.
