Assistant Property Manager II

Our programs aim to provide the community with the tools, knowledge, and resources to transform their lives and ultimately achieve their long-term educational, career, and financial goals. These holistic programs and services reach more than 10,000 individuals and families annually in five languages. Programs include early childhood education, youth mentorship and leadership development, employment services, career readiness training, housing and financial stability, senior citizen services, affordable housing and neighborhood development, and arts and cultural events. Our work expands beyond the Fruitvale district and now reaches across Oakland and into Contra Costa County. The Unity Council employs a diverse workforce of more than 300 people who reflect the linguistic, cultural, and ethnic identity of the communities we serve. Position Summary
We are seeking a proactive and experienced Assistant Property Manager II (APM II) to oversee the maintenance and operations of our event space. The APM II will play a pivotal role in ensuring the facility's upkeep, safety, and functionality, while also fostering a welcoming environment for our community members and visitors. Essential Duties and Responsibilities
The duties and responsibilities include, but are not limited to the following: Tenant and Visitor Relations Serve as the primary point of contact for tenants, community members, and visitors, providing exceptional customer service and assistance. Foster positive relationships with tenants through regular communication, responsiveness to inquiries and concerns, and proactive engagement. Organize community-building events, workshops, and networking opportunities to enhance tenant satisfaction and promote a sense of belonging. Lease Management FTV (with support from Assoc. Director of Property Operations) Administer lease agreements and ensure that all lease terms and conditions are met by tenants and property owners. Coordinate lease negotiations, rental payments, and lease renewals in accordance with established procedures and timelines. Conduct regular inspections of leased spaces to verify compliance with lease agreements and identify any lease violations or maintenance issues. Leasing Juntos Spaces and Marketing (with support from VP of Property Operation & Fund Development) Market available spaces within the facility to potential tenants through various channels, including online platforms, social media, and networking events. Develop marketing materials, such as brochures, flyers, and digital advertisements, to showcase available spaces and attract prospective tenants. Conduct tours of the facility for interested parties, highlighting key features, amenities, and leasing options. Negotiate lease terms and rental agreements with prospective tenants, ensuring alignment with organizational goals and financial objectives. Collaborate with marketing and communications teams to develop promotional campaigns and strategies to increase awareness and occupancy of the facility. Budget and Financial Management Ensure timely invoice processing for vendor payments Ensure timely lease and rental payments, batch postings and bank deposits Monitor budget performance, track expenses, and prepare financial reports for management review. Identify opportunities for cost savings and revenue generation through efficient resource utilization, vendor negotiations, and lease optimization strategies. Operations Manage day-to-day operations of the Juntos event space, including scheduling of space usage, setup for events, and coordination of logistics. Enter all event bookings and sales data into Yardi Kube Manage and maintain current and potential customer base in Yardi Kube Ensure Juntos Website is updated and functioning as designed Ensure that all facility equipment, furnishings, and amenities are maintained in good working condition and are accessible to tenants and visitors as needed. Monitor and enforce compliance with facility rules, regulations, and safety protocols. Work with Facilities Manager to address operational issues and emergencies promptly, taking appropriate action to minimize disruptions to facility operations. Qualifications
Bilingual, English & Spanish, proficient in written and conversational preferred 2+ years of front facing administrative background, 1 yr in Property Management or Contract Agreement experience is preferred Strong sales and/or client service background Strong marketing and social media promotion background Knowledge of event management preferred Excellent communication, interpersonal, and problem-solving skills. Ability to multitask, prioritize tasks, and work effectively in a fast-paced environment. Proficiency in property management software and Microsoft Office Suite. Physical Requirements
Must be able climb stairs, reach, bend, lift 20-30 pounds, crawl, kneel, stoop, twist, grasp with hands and fingers materials, use arms and legs, able to walk, climb ladders if applicable. Regularly required to sit for long periods of time, and occasionally stand and walk; Regularly required to use hands to operate computer and other office equipment; Close vision required for computer use.
