About the Company
The ideal candidate will serve as the operational backbone of our registered investment advisory firm, overseeing the full spectrum of back-office functions critical to a well-run RIA. Responsibilities include managing client billing and fee calculations, maintaining accurate books and records in compliance with regulatory requirements, administering payroll and employee benefits, and ensuring all operational workflows support the firm's fiduciary obligations. This role partners closely with advisory and compliance teams to streamline processes, improve efficiency, and uphold the operational standards expected of a client-first investment advisory practice.
About the Role
Key Responsibilities:
Billing & Fee Processing • Own the end-to-end client billing process, including AUM-based fee calculations, billing cycle management, and invoice generation across custodial platforms • Reconcile billed fees against custodian records and resolve discrepancies in a timely manner • Maintain and update fee schedules in the portfolio management or billing system • Respond to client and advisor inquiries related to billing and fee structures
Compliance & Recordkeeping • Maintain books and records in accordance with SEC regulations (including Books and Records Rule 204-2) • Partner with the CCO to support regulatory filings, audits, and examinations • Ensure firm policies and operational procedures are documented, current, and consistently followed • Oversee document retention practices across digital and physical records
HR, Payroll & Benefits Administration • Process semi-monthly or bi-weekly payroll accurately and on time • Administer employee benefits programs including health, dental, vision, 401(k), and other ancillary benefits • Manage onboarding and offboarding workflows, including systems access, equipment, and HR documentation • Serve as the primary point of contact for employee HR and benefits questions
Technology & Systems • Oversee and optimize the firm's core technology stack, including CRM, portfolio management, financial planning, and custodial integration platforms • Identify and implement operational efficiencies through automation and systems improvements • Manage vendor relationships and third-party service contracts • Ensure data integrity across platforms and support integrations between systems
General Operations & Leadership • Lead and manage day-to-day office operations to ensure a high-functioning, organized work environment • Develop and document scalable operational processes that support firm growth • Collaborate cross-functionally with advisory, compliance, and client service teams • Report directly to firm leadership and contribute to strategic planning and business initiatives Qualifications Bachelor's degree or equivalent experience 3+ years' of customer service and/or operations, industry relevant a plus Required Skills Excellent written and verbal communication skills Proficiency in Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.) Preferred Skills None specified Pay range and compensation package $60,000 - $80,000 annually with a bonus structure Equal Opportunity Statement We are committed to diversity and inclusivity.
