Senior Marketing Coordinator
Sasaki is seeking a full‑time Senior Marketing Coordinator to join our Boston office. As a senior marketing coordinator at Sasaki, you will play a pivotal role in the thoughtful execution of high‑quality marketing materials for different work streams, including proposals, qualifications documents, brochures, interview materials, and master project pages. This role will work closely with the other seven marketing coordinators to teach best practices and mentor peer team members. The goal of the senior coordinator is to work very independently on pursuits, with the manager providing limited guidance and oversight.
You will also take on a supporting role in shaping the presentations that design teams deliver to potential clients at interviews—in terms of delivery and content. You will facilitate and contribute to strategy discussions with principals and senior staff on business development efforts tracked in our CRM system, and lead research initiatives on potential clients and competitors. This is not an SEO, SEM, social media, digital marketing, or product marketing role.
Job Responsibilities
Lead the pursuit process: hold kickoff meetings, develop proposals (writing, proofreading, layout, graphic design), and coordinate with external consultant teams.
Adhere to strict RFP requirements while meeting deadlines.
Maintain a library of marketing materials, including team resumes and project profiles.
Assist the Marketing Manager with preparation for pursuit interviews.
Manage project and client data in our CRM database.
Assist with assorted marketing tasks such as research initiatives on potential clients, competitors, and market trends, as well as conference preparation and event planning as needed.
Required Skill Set
Minimum 5+ years of experience in a high‑volume AEC firm, producing multiple submissions simultaneously.
Demonstrated expertise in communicating the strengths of a company with a large and complex portfolio through the RFP/RFQ process.
Interest in the environment, design, and urbanism; quickly becoming a subject matter expert and deepening industry knowledge over time.
Strong InDesign skills working within a branded template.
Experience mentoring and coaching peers.
Comfort communicating with senior firm leaders.
Strong copyediting skills and experience reviewing documents for adherence to brand standards and grammar/spelling.
Team player attitude, ready to jump in where needed.
Ability to calmly juggle multiple submissions and overlapping priorities, comfort in ambiguity, and strong attention to detail.
Organization and detail orientation, with a proven system for managing deadlines and RFP/RFQ requirements.
Experience using a CRM program or managing a database of project information.
Proficiency with Microsoft Office and Google Workspace.
Desired Skills & Attributes
Passion for the design industry and urbanism, quickly becoming a subject matter expert and deepening industry knowledge over time.
Experience in landscape architecture, planning, and/or urban design projects.
OpenAsset and Deltek VantagePoint experience.
Ability to work as part of a larger team, jumping in where needed.
Proven experience working independently, seeking answers to complex problems.
Curiosity and continuous learning mindset.
Experience with Chicago Style guidelines.
Experience in Adobe Photoshop or Illustrator.
