We are seeking a highly organized and detail-oriented contingent professional to support enterprise event planning, training coordination, and communications execution. This fully onsite role is responsible for end-to-end logistics coordination, training administration within a learning management system (LMS), content creation and publishing, and close collaboration with internal communications and change teams to ensure alignment with corporate standards.
Key Responsibilities Event Planning & Facilitation
Plan and coordinate onsite meetings, workshops, and leadership events from initiation through execution
Manage calendar invites, attendee lists, and RSVP tracking
Coordinate logistics including room reservations, audiovisual setup, catering, signage, and facilities support
Submit and track service requests across Facilities, Catering, IT/AV, and Security teams
Provide onsite, day-of support to ensure seamless event execution
Training Coordination & Administration
Serve as training coordinator for instructor-led, onsite sessions
Maintain and publish training information within the LMS
Manage registration, enrollment, attendance tracking, and session updates
Communicate prerequisites and ensure participant readiness
Coordinate logistics with instructors and external vendors (room setup, catering, access requirements)
Content Creation & Publishing
Develop and format high-quality presentation materials and communications content
Publish content across internal platforms such as collaboration tools and intranet systems
Ensure accuracy, consistency, and audience-appropriate messaging
Communications & Brand Alignment
Partner with internal communications teams to ensure adherence to brand and messaging standards
Revise and refine materials based on stakeholder feedback while maintaining high attention to detail
Required Skills & Expertise
Advanced presentation development skills with executive-level formatting
Strong written and verbal communication skills
Exceptional organizational skills with keen attention to detail
Experience coordinating vendors and managing onsite logistics
Tools & Platforms
Microsoft Office 365 (PowerPoint, Outlook, Teams)
Collaboration and content platforms (e.g., intranet and knowledge-sharing tools)
Learning Management Systems (LMS)
Experience & Qualifications
3-7 years of experience in event coordination, training operations, or corporate communications
Experience working in large, complex, or matrixed environments preferred
