Reports to: Director of Product Development and Production

About The Role

Our client is a fast-growing apparel brand with a clear vision to scale and grow. We are seeking a self motivated and detail oriented Production Coordinator with strong time management and communications skills to support the brand’s product and productions team to ensure product is moved swiftly thru seasonal production timelines.

As the Production Coordinator , you will work cross functionality with Product Development, Design, Tech Design, Operations and Vendors as both an executional and support liaison throughout the product lifecycle. You'll report directly to the Director of Product Development and Production and ensure all administrative, tracking and coordination tasks are executed accurately and on-time. You will be a hands-on team player in this dynamic role.

Key Responsibilities

Production Coordination (Support)

  • Support day to day management of production calendar and milestones
  • Track all styles through production and maintain up-to-date status reports in WIP
  • Flag delays, risks, or missing information up stream
  • Generate UPC labels, issue to factories and confirm accuracy of factory proofs

Purchase Orders & Production Tracking

  • Assist with creating and updating purchase orders (POs) and production documents
  • Maintain organized digital files (styles, POs, vendor communications, samples)
  • Document all production details (pricing, quantities, delivery dates) across systems and tools
  • Input & update PLM/ERP (The Vault & Apparel Magic) with current production information
  • Update trackers with current status of styles, samples, and deliveries
  • Ensure accuracy and consistency across all records

Sample & Package Tracking

  • Track all incoming and outgoing production samples and ensure timely receipt from factories (fit samples, SMS, TOPs)
  • Help prepare and ship packages to vendors or internal teams
  • Maintain sample logs and ensure items are properly labeled and tracked
  • Organize and log production approvals and comments
  • Support sample organization (closet, racks, storage)
  • Flag quality concerns upstream

Production Tracking Support

  • Follow up on simple status updates with vendors or internal teams
  • Flag missing information or delays upstream
  • Track changes in pricing, materials, or quantities, Flag any discrepancies vs. target costs
  • Maintain and update costing sheets

Vendor Communication (Executional)

  • Support daily communication with vendors on
  • Sample tracking
  • Production status updates
  • Documentation needs
  • Follow up on outstanding items to keep production moving
  • Escalate issues or inconsistencies to the Production Manager

Logistics Coordination

  • Monitor inbound shipments
  • Update systems and teams on key milestones while in-transit (ex-factory, in-transit, delivery)
  • Assist in coordinating with freight partners and warehouse
  • Maintain shipment records and documentation

Invoicing and Finance

  • Reviews and check all factory invoices for accuracy including but not limited to unit qty, overage tolerances, negotiated FOB, and surcharges
  • Raise issues or discrepancies upstream

Cross-Functional Support

  • Coordinate with:
  • Design on sample tracking and updates
  • Technical Design on sample flow and approvals
  • Ops/Planning on delivery timing and shipment tracking
  • Ensure all stakeholders have accurate, up-to-date information

  • Calendar adherence: Timely tracking and follow-ups to support on-time delivery
  • Sample tracking: Minimal delays due to missing or untracked samples
  • Operational support: Clear, organized reporting that enables team decision-making
  • Team support: Enables smoother workflow for team

Qualifications

  • Bachelor's Degree in Fashion Merchandising, Apparel Production, Supply Chain, or equivalent study
  • 1-3 years in apparel production, product development, or sourcing. Entry level candidates may be considered.
  • Experience in contemporary women’s wear is considered a plus.
  • Background working with overseas factories
  • Familiarity with seasonal calendars and fashion timelines
  • Strong time management and ability to juggle multiple styles/seasons
  • Clear communication skills (especially with overseas partners)
  • Proactive mindset — flags issues before they become problems

Compensation & Benefits

The base salary range for this role is between $45,000 and $50,000. The relevant base salary will vary depending on a wide range of factors that are considered in making compensation decisions, including but not limited to, skill sets, experience, training, degrees, and certifications.
