Customer Service & Clerical Support Specialist

We are seeking a detail-oriented Customer Service & Clerical Support Specialist to provide administrative support to the Business Unit Manager and Customer Service Department. This role is responsible for entering customer purchase orders into the company ERP system, maintaining order documentation, and processing vendor invoices and payments. The ideal candidate will be organized, dependable, and comfortable working with multiple departments to ensure accurate order tracking and customer support. Essential Duties and Responsibilities

Customer Service & Administrative Support Enter customer purchase orders into the Intuitive ERP system accurately and in a timely manner. Create job folders and enter new part information into Intuitive upon receipt of new orders. Maintain entries in the contract review log to initiate the manufacturing/contract review process. Update existing orders in Intuitive and on internal logs based on customer changes or updates. Provide ASN's (Advanced Shipping Notices) or Shipment Performance Reports when required. Assist the Business Unit Manager with special customer requests as needed. Initiate Customer Quality Alerts when complaints arise and update the NCMR log accordingly. Assist the Planning department with creating shop packets and work orders for production. Track the status of orders across departments as requested. Provide and verify proof of deliveries. Monitor and maintain customer portals and provide updates to the Business Unit Manager and Planner. Research and resolve customer inquiries using the ERP system and communicate findings. Update and maintain internal logs, scorecards, past-due reports, and open order reports. Investigate billing issues and provide updates to the Business Unit Manager. Identify and report noticeable trends, issues, or changes impacting orders or customers. Update monthly order tracking and reporting as required. General Office Duties Provide backup support to the receptionist, including answering phones during breaks and lunches. Maintain confidentiality when handling sensitive customer and company information. Assist with Continuous Improvement initiatives within the department. Recognize and escalate concerns or issues to leadership when appropriate. Perform other duties as assigned. Minimum Qualifications

Education: High School Diploma or equivalent required. Experience: 25 years of clerical, administrative, or customer service experience preferred. Computer Skills: Proficiency in Microsoft Excel and Microsoft Office Suite Experience working with ERP systems is a plus.
