Johnson County Community College Position: Collections Specialist

Type of Position: Part‑time Regular

Exemption Status: Non‑Exempt

Work Schedule, Hours per week: Monday–Friday, 8 AM–5 PM, 25 hours per week

Opportunity for hybrid schedule: No

Starting Salary Range: $16.31–$20.77 (based on experience)

Position Summary The Collections Specialist is primarily responsible for internal collection efforts within the Bursar's Office. Responsibilities include communicating with students, companies, and collection agencies to aid in the recovery of past‑due student and non‑student accounts, managing holds, and counseling students on payment options. The Collections Specialist also assists the Billing & Accounts Receivable Coordinator with external collection efforts and reporting.

Required Qualifications

High School Diploma or equivalent.

Two years of collections or related work experience.

Customer service experience and ability to de‑escalate challenging interactions.

Strong interpersonal, written, and verbal communication skills.

Effective time and resource management skills.

Demonstrated ability to define problems, collect and analyze data, and implement appropriate solutions.

Demonstrated ability to complete work with accuracy and thoroughness.

Demonstrated ability to maintain confidentiality.

Ability to effectively use integrated administrative computer systems and train users.

Ability to work in multiple information systems simultaneously.

Proficiency with Microsoft Office (Excel, Outlook, Work).

Preferred Qualifications

Previous student account experience.

Experience with Banner and TouchNet systems.

Position Details

Perform Internal Collection Activities

Proactively communicate with students in past‑due status via phone, email, and mail. Place holds on eligible past‑due accounts and review aging reports to continuously monitor past‑due accounts.

Communicate regularly and effectively with staff and other departments to research and resolve student account and payment disputes.

Counsel students on payment options based on student goals and enrollment deadlines.

Assist Billing & Accounts Receivable Coordinator in monitoring past‑due status of non‑student accounts, including sending notices via email or mail.

Support External Collections Efforts

Assist in requests for information from collections agencies. Communicate payments and changes in past‑due status to collection agencies.

Add collection fees and support Billing & AR Coordinator in maintaining accurate records.

Monitor collection laws and recommend procedural changes to ensure compliance.

Collaborate with Bursar Office staff to ensure accurate posting of payments received from Collections Agencies.

Support Bursar Office Operations

Work proactively, in an innovative manner, to improve communications and collections efforts.

Assist the Billing & AR Coordinator in reporting on and monitoring the effectiveness of collections efforts.

Assist in writing off uncollectible accounts. Provide coverage of office phone lines and the collections mailbox.
