We are recruiting on behalf of a global asset management firm for a Team Assistant to support their US Investor Relations team. This is a fast-paced, client-facing support role ideal for someone who is highly organized, data-driven, and enthusiastic about working within a collaborative and high-performing sales environment.
What You'll Be Doing
Providing comprehensive administrative support including calendar management, meeting coordination, and correspondence Scheduling and organizing meetings, appointments, and team events Coordinating team meetings — preparing agendas, distributing materials, and capturing follow-up actions Preparing and binding presentation materials for internal and external meetings Maintaining data integrity in Salesforce, including contact records, meeting notes, and activity tracking Managing domestic and international travel arrangements, including itineraries, accommodations, and transportation Preparing and submitting expense reports accurately and on time Maintaining organized electronic filing systems Supporting the planning and execution of team events, workshops, and training sessions Providing backup administrative coverage during absences or peak periods What We're Looking For
Strong organizational skills with excellent attention to detail 1-5 years of experinece in finance within asset management in EA or IR Operations Excellent interpersonal and communication skills Proven ability to prioritize and manage tasks with minimal direction, often under pressure Proficiency in Salesforce for record updates, activity tracking, and data maintenance Advanced Microsoft Outlook skills; working knowledge of Excel, PowerPoint, and Word A proactive, self-motivated approach with the ability to anticipate team needs A passion for event coordination and contributing to team culture Ability to build strong relationships across all levels of an organization A genuine team player who is comfortable in a highly accountable environment
