The Proposal Manager will play a key role in shaping submission strategy, coordinating contributors, managing timelines, and ensuring every deliverable is polished, compliant, and competitive.
Responsibilities:
- Own the full proposal lifecycle from opportunity tracking through submission, interview preparation, and post-submittal win/loss analysis
- Help prioritize pursuits based on strategic value, deadlines, and team bandwidth
- Manage proposal schedules, milestones, compliance requirements, and internal deliverables
- Coordinate with principals, project teams, consultants, and marketing stakeholders to gather all necessary inputs
- Lead kickoff meetings and establish expectations, deadlines, and accountability across contributors
- Develop pursuit strategy, messaging, differentiators, and narrative structure aligned to client priorities
- Translate technical and operational information into clear, persuasive, well-organized proposal content
- Guide proposal development from early draft through final production and submission
- Conduct quality control reviews for accuracy, completeness, tone, grammar, and compliance
- Support interview strategy, messaging development, and preparation of related materials
- Maintain pursuit records and contribute to reusable content, templates, and process improvements
- Partner closely with leadership, design, and marketing teams to improve efficiency and strengthen overall pursuit effectiveness
Qualifications:
- 5–7 years of experience in proposal management, pursuit marketing, business development communications, or a related function
- Prior experience within architecture, engineering, construction, or another professional services environment strongly preferred
- Bachelor’s degree preferred in marketing, communications, journalism, English, business, or related field
- Strong proposal writing and editing ability, with experience developing persuasive narratives from multiple information sources
- Experience reviewing RFQ/RFP requirements, building compliance tools, and managing submission schedules
- Strong command of English grammar, structure, and professional written communication
- Experience handling multiple concurrent pursuits in a deadline-driven environment
- Working knowledge of Adobe Creative Suite, especially InDesign; experience with InCopy and Photoshop is highly valued
- Strong Microsoft Office skills
- Familiarity with HubSpot or a similar CRM, proposal tracking, or content management platform
- Strong organizational skills, attention to detail, follow-through, and ability to work independently while coordinating multiple stakeholders
Compensation & Work Modality:
This opportunity offers a salary range of $95,000–$125,000 and is based onsite in Ontario, CA. The role is best suited for a candidate who enjoys working closely with internal teams in a collaborative office environment and can effectively manage active pursuits from the office.
