The Assistant Property Manager is responsible for providing support to the Property Manager in the day-to-day operations of aviation‑related commercial properties, including hangars, office spaces, and other aviation‑specific facilities. The role ensures efficient property management, vendor coordination, and tenant support while aligning with the company’s goals and objectives. This role involves working closely with aviation tenants, aviation service providers, and airport authorities.
Duties and Responsibilities
Assist the Property Manager with managing the operations of Sheltair facilities, including hangars, office spaces, and aviation‑related infrastructure.
Track, maintain, and process new leases, lease expirations, and lease renewals.
Handle inbound and outbound calls and emails to tenants regarding accounts, maintenance requests, lease agreements, and general inquiries.
Set‑up, track, and close‑out work orders for aviation property‑related repairs and maintenance. Coordinate maintenance schedules for on‑site staff and contractors.
Support marketing efforts for available hangar and office space by helping with strategies, identifying prospective tenants, and maintaining promotional materials to attract potential clients. Assist with preparing marketing materials and outreach to key prospects. Help customize WAY gifts for existing clients and new clients.
Maintain and organize property files, tenant rent rolls, insurance certificates, regulatory documents, and other documents related to properties.
Maintain, track, and audit tenant certificates of insurance (COIs) to ensure compliance with lease agreements. Review and verify COIs to ensure they meet company and aviation industry standards.
Support the efforts to maximize hangar occupancy by establishing and maintaining proficiency in applicable hangar stacking software to ensure efficient hangar space management, ensuring accurate records of available and occupied spaces.
Monitor delinquency status of tenants and assist with the collection of overdue rents or payments.
Assist Property Manager with the coordination of tenant move‑ins/outs, including coordinating tenant improvements or construction activities related to aviation tenants.
Help train lease administrators, ensuring they understand their role in maintaining accurate data and tenant records within the system.
Assist the Property Manager in preparing operating and capital budgets for the property. Obtain quotes from various vendors for property‑related services, ensuring cost‑effective solutions for maintenance, repairs, and improvements for CAPEX and R&M items.
Perform additional duties as needed that are within industry standards and support the efficient operation of aviation properties.
Assist in employee supervisory responsibilities as assigned by the Property Manager
Qualifications, Skills, and Abilities
Experience in commercial real estate property management required, preferably with exposure to aviation or industrial property management.
Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and property management software Yardi. Familiarity with aviation‑specific software is a plus.
Strong communication skills, attention to detail, and the ability to manage multiple priorities and deadlines in a fast‑paced, aviation‑related environment.
Ability to manage relationships with aviation tenants, aviation service providers, contractors, and internal teams, fostering a professional and collaborative environment.
Excellent customer service skills, with the ability to anticipate tenant needs and address issues promptly. Strong problem‑solving and critical thinking abilities.
Education and Experience
High School Diploma or equivalent required; College degree preferred, with an emphasis on property management, aviation, or business management.
Familiarity with aviation terminology, facilities, and safety standards is preferred.
