Duties & Responsibilities

Perform clerical duties in various administrative and operational areas by processing, recording, checking, and maintaining records; files and invoices using alphabetical and numerical procedures including data/control coding.

Prepare reports requiring the selection of data from simple records or statistics.

Perform ordinary mathematical computations.

Check records for accuracy of information and for conformity with established policies and procedures.

Operate a telephone call directory, multi‑line phone, or switchboard.

Perform clerical operations such as filing materials and searching for difficult to locate items.

Enter and retrieve data using a personal computer, video display terminal, or other automated office systems.

Supervise and instruct a small group engaged in data entry and retrieval operations.

In the temporary absence of the supervisor, perform supervisory duties not in excess of 30 work days or 210 hours in a calendar year.

Maintain and check various kinds of records in personnel administration, payroll, accounts, budgeting, methods and organization, employee benefits administration, and other administrative and operational areas.

Assist in preparing and arranging services and activities for receptions and other public functions.

Supervise one or more switchboards.

Provide clerical support in healthcare setting patient care units; prepare, compile, maintain, file, and/or retrieve patient medical records; record diet instructions; requisition supplies; answer telephones and relay messages; direct visitors; distribute mail and newspapers; inventory personal effects and store them following proper procedures.

Minimum Qualifications

A high school diploma or its educational equivalent.

Six (6) months of full‑time satisfactory clerical experience and/or experience interacting with the public, such as processing sales; taking, processing, and delivering orders; obtaining and dispensing information; listening to and resolving customer concerns, problems, and complaints; and/or performing related customer service activities.
