Assistant Property Manager (Commercial Office Portfolio)

Position Overview A leading real estate organization is seeking an
Assistant Property Manager
to support the management of a
commercial office portfolio . This role partners closely with the Property Manager to ensure best-in-class building operations, tenant satisfaction, and financial performance across assets.
We're looking for someone with strong commercial office experience (retail exposure is acceptable only if combined with office experience) and a proactive, detail-oriented approach to operations, tenant relations, and financial tracking.
Key Responsibilities
Support day-to-day operations of commercial office properties, ensuring a clean, safe, and professional environment for tenants and visitors
Prepare and distribute monthly property reports outlining operational activity and associated costs to ownership and senior leadership
Assist in the development, tracking, and reporting of annual operating, maintenance, and capital budgets
Administer vendor and facilities contracts, ensuring service quality and compliance
Review and manage documentation related to tenant construction projects, including certificates, drawings, and applications
Maintain thorough knowledge of lease agreements, with emphasis on clauses impacting operations and revenue
Coordinate and conduct tenant move-ins and move-outs, ensuring lease compliance and accurate occupancy reporting
Maintain and update tenant records and billing information within property management systems
Communicate with tenants regarding building updates, maintenance work, and emergencies
Coordinate maintenance and repair work, ensuring timely follow-up and resolution of tenant requests
Track and manage costs related to tenant billable services (above standard lease requirements)
Review, code, and process vendor invoices
Conduct regular property inspections, identifying and addressing operational or maintenance deficiencies
Support life safety system testing, fire drills, and emergency preparedness initiatives
Maintain compliance documentation for Fire Safety, OSHA, HAZCOM, and building codes
Serve as a backup to the Property Manager and assist with special projects as needed
Required Qualifications
Bachelor’s Degree REQUIRED (Business, Engineering, Real Estate, or related field preferred)
Minimum 5+ years of commercial property management experience (office assets required; limited retail exposure acceptable)
Strong understanding of building operations, budgeting, and lease administration
Demonstrated ability to manage tenant relationships and resolve issues professionally
Proficiency in Microsoft Office Suite and property management systems
Ability to analyze financial data, reports, and operational metrics
Experience working with vendors, contracts, and building systemsStrong organizational skills with the ability to prioritize and work independently
