Job Description Assistant Director of Facilities

Job Summary : The Assistant Director of Facilities supports the Director in the leadership, management, and daily operations of all Hingham Public School District facilities, focusing on custodial supervision, training, and building operations. This role ensures safe, clean, efficient, and compliant learning environments while supporting maintenance operations and capital improvement projects. The position works closely with school administrators, staff, and external partners to maintain and improve all district buildings, grounds, and systems. The responsibilities outlined below are not an exhaustive list and there may be additional responsibilities assigned.

Supervisory Responsibilities The Assistant Director of Facilities will train, develop, coach, evaluate custodial staff.

Responsibilities

Custodial Leadership & Training

Directly supervise custodial staff district-wide, including scheduling, evaluations, and performance management.

Establish, implement, and continuously improve standardized cleaning protocols and quality control measures.

Develop and deliver ongoing custodial training programs, ensuring best practices in cleaning, safety, equipment use, and regulatory compliance.

Conduct regular inspections to ensure high standards of cleanliness, safety, and consistency across all facilities.

Manage custodial staffing, including summer hiring and special project assignments.

Oversee operational logistics, inventory, equipment, and supply management.

Support district-wide sustainability and green cleaning initiatives.

Facilities Operations & Maintenance

Assist in the oversight of all buildings, grounds, and building systems, including HVAC and controls.

Assist in supervising maintenance staff and coordinate daily work orders and preventative maintenance programs.

Conduct routine facility inspections to ensure compliance with fire safety, DPS, OSHA, and other applicable regulations.

Respond to emergencies, operational issues, and building-related concerns in a timely manner.

Support seasonal operations, including snow and ice management.

Capital Planning & Project Support

Assist in long-range facilities planning and capital improvement initiatives.

Assist in developing long range facilities preventative maintenance plans and procedures.

Identify facility deficiencies and help prioritize maintenance and capital needs.

Support project development, including scope, budget, and scheduling.

Coordinate with architects, engineers, and contractors; assist with procurement (RFP/RFQ/IFB).

Monitor project progress, facilitate meetings, and ensure proper project close-out.

Communication & Coordination

Serve as a liaison between Facilities, school administrators, and district departments.

Respond to principal and staff concerns; investigate and resolve issues promptly.

Communicate technical information, project updates, and operational expectations clearly to stakeholders.

Support preparation of reports, presentations, and documentation.

Education and Experience

Associates/Bachelor’s degree in facilities management, engineering, construction management, or related field preferred; relevant technical experience may be substituted.

Minimum of five (5) years of experience in facilities, maintenance, or custodial operations.

At least two (2) years of supervisory experience, with strong emphasis on custodial leadership and staff development.

Certified Educational Facilities Professional (CEFP), required

MCPPO Designation, required

Hoisting License, required

Valid Class D Driver’s License, required

Required Skills/Abilities

Demonstrated knowledge of custodial best practices, building systems, and HVAC operations.

Experience with project coordination and facilities planning.

Strong organizational, communication, and problem-solving skills.

Excellent interpersonal and leadership skills

Must be able to lift a minimum of fifty (50) pounds

Must be able to operate heavy equipment/machinery

Requires flexibility for day and evening shifts and may require work beyond the regular work day

Terms of Employment

Full time (40 hours/week), twelve (12) month position

Salary and fringe benefits are to be established by the Superintendent in accordance with the policies established by the School Committee

Employment subject to successful completion of background checks pursuant to federal and/or state laws
