JOB SUMMARY

This position is responsible for providing customer service, clerical, and bookkeeping support for the operations of the Municipal Court. This position assists the direct supervisor with complex clerical work.

MAJOR DUTIES

Performs customer service functions by telephone, mail, email and in person; provides information/assistance regarding court session and court department activities, services, procedures, documentation, fees, case status/disposition, or other issues; distributes forms and documentation to defendants and receives them upon completion; responds to routine questions or complaints; researches problems/complaints and initiates problem resolution. Receives money in the forms of cash, credit card, money order or cashier's check for the payment of citations, fees, fines, or other fees/services; calculates appropriate fees; records transactions and issues receipts; enters payments and dispositions into court's database system; maintains and balances assigned cash drawer and prepares bank deposits in compliance with existing financial controls. Assists with court preparations; ensures files are prepared for Solicitor's review; prepares dockets for all assigned court sessions; ensures all citations and accompanying paperwork are complete. Prepares dockets for all assigned court sessions; ensures all citations and accompanying paperwork are complete; ensures the efficient flow of case files during court proceedings; closes the court calendar after each court session; ensures proper documentation is provided by the Diversion Coordinator to close probation cases. Closes out cases after court. Scans all files into Courtware and removes any CJIS information from both digital and physical court files. Processes vehicle and tag reports; researches driver and criminal histories; updates Computer Criminal Histories (CCH) for completed cases. Mails surrendered driver's licenses to the Department of Driver Services. Submits Uniform Traffic Citation (UTC) batch after each court session. Submits requests for evidentiary videos and forwards to Solicitor. Responds to email and faxes from attorneys and paralegals regarding entries of appearance, leaves of absence, and the filing of legal motions; resets cases at the request of the Solicitor or defense attorneys and notifies defendants, bonding companies, and defense attorneys as needed. Edits cases in court software system after reductions or dismissals are documented by the Solicitor. Processes open records requests. Prepares bind overs and bond refunds for the Court Administrator and updates dispositions in court software system. Mails any bind overs that do not need checks to Cobb County State Court. Assists with basic tasks and daily court operations in absence of other court employee(s). Runs GCIC reports for judge and solicitor; serves as Assistant Terminal Agency Coordinator (TAC) for Municipal Court. Assists in the maintenance of overall operations in the absence of the Court Administrator. Performs related duties as assigned.

KNOWLEDGE REQUIRED BY THE POSITION

The Municipal Court Administrator assigns work in terms of general instructions. The supervisor spot-checks completed work for compliance with procedures, accuracy, and the nature and propriety of the final results.

GUIDELINES

Guidelines include state laws, local ordinances, court rules and regulations, and judges' orders. These guidelines are generally clear and specific but, may require some interpretation in application.

COMPLEXITY/SCOPE OF WORK

The work consists of related clerical and customer service duties. Frequent interruptions contribute to the complexity of the position. The purpose of this position is to provide support for the day-to-day operations of the court office. Successful performance contributes to the efficiency and effectiveness of court operations. Contacts are typically with co-workers, other city employees, law enforcement personnel, attorneys, judges, detention officers, probation officers, the Judge and Solicitor, and members of the general public. Contacts are typically to exchange information, resolve problems, and provide services. PHYSICAL DEMANDS/ WORK ENVIRONMENT

The work is typically performed while sitting at a desk or table or while intermittently sitting, standing, bending, crouching, or stooping. The employee occasionally lifts light and heavy objects and distinguishes between shades of color. The work is typically performed in an office. SUPERVISORY AND MANAGEMENT RESPONSIBILITY

MINIMUM QUALIFICATIONS

Knowledge and level of competency commonly associated with completion of specialized training in the field of work, in addition to basic skills typically associated with the completion of an Associates degree. Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for three to four years, or any equivalent combination of education, experience, training which provides the knowledge, skills and abilities to perform the work. Possession of or ability to readily obtain and maintain GCIC/NCIC certification. Possession of or ability to readily obtain and maintain the TAC (Terminal Agency Coordinator) certification.
