Potomac Crescent Waldorf School is seeking a Director of Admissions and Outreach to join our dedicated staff and vibrant community at our newly renovated school in historic Old Town Alexandria, beginning in June 2026.

The Director of Admissions and Outreach holds a key role in shaping the future of our school. With responsibilities to attract, enroll, and retain mission‑aligned students, this person serves as both storyteller and steward—promoting and communicating the heart of Waldorf education while supporting families as they explore the unique rhythm, developmental approach, and community life at Potomac Crescent Waldorf School.

This work blends strategic planning, outreach and communication with relationship‑building and administrative leadership as we seek to enroll students and families who will thrive within our mission and values. This position will report to the Director of Administration and work collaboratively with faculty and parent volunteers.

Responsibilities include but are not limited to the following:

Welcoming & Guiding Families

  • Serve as a warm, knowledgeable ambassador of Waldorf education and our school’s mission.
  • Meet with prospective families, offering tours, conversations, and insights that help them experience the living quality of our curriculum and community. Coordinate with teachers and staff to facilitate these activities.
  • Support families throughout the admissions journey with clarity, care, and responsiveness.

Admissions Leadership & Enrollment Stewardship

  • Manage the admissions cycle process with prospective families, from first inquiry and cultivation of interest through the application and enrollment process, including welcoming events and connections within the community.
  • Facilitate the faculty review and decision‑making process by sharing application materials and student records and organizing classroom visits.
  • Communicate faculty decisions and create and send enrollment agreements to newly admitted and current families.
  • Coordinate with the Tuition Assistance Committee regarding tuition assistance and explain the tuition assistance acceptance process to recipient families.
  • Maintain accurate enrollment data and family records in the school database including FACTS payment plans.
  • Develop and implement a comprehensive admissions strategy that supports healthy enrollment and long‑term sustainability.
  • In coordination with the administration and faculty, establish the annual calendar of admissions and enrollment deadlines and events and ensure that dates are shared with the community.
  • Ensure that enrolled tuition assistance recipients are aware of annual application deadlines.
  • Provide regular reports and insights, including key performance indicators, that help guide long‑term planning to be shared regularly with the Board.
  • Track the pipeline of students from Early Childhood to Grades to maintain knowledge of the likely size of all classes and to guide decision‑making about redirection of resources as necessary to grow class sizes.
  • Develop and implement first grade readiness meetings and information for kindergarten families.
  • In coordination with the faculty and the Events Committee, plan and host at least two parent education speaker events per year.

Outreach

  • Collaborate with the Director of Administration and provide feedback and information about admissions needs as they develop and execute PCWS marketing plans and create promotional materials, including brochures, digital content, and admissions pieces.
  • Utilize branding guidance to ensure consistent messaging and branding across all communication platforms, both internal and external.
  • Strategic Outreach & Recruitment
  • Develop and execute multi‑channel recruitment and communication plan to nurture prospects from initial inquiry through enrollment, including newsletters, emails, (nurturing and drip) campaigns, in person, phone, and virtual strategies.
  • Community Development & Engagement
  • Design and lead programs for parent volunteers to foster authentic connections with prospective families.
  • Build a pipeline of mission‑aligned applicants through activities like maintaining relationships with local preschools, early childhood programs, elementary schools, nearby Waldorf and Waldorf‑inspired schools, and other potential feeder programs and groups, including visiting them and inviting them to visit PCWS.
  • Promote PCWS at school fairs, including virtual events.
  • Events
  • Plan and host admissions events, open houses, information sessions (like Waldorf in the Grades), and community gatherings that reflect the artistry, warmth, and intentionality of Waldorf education.

Student Reports and Transition Support

  • In collaboration with faculty, establish a schedule and create and maintain digital folders with templates for student progress reports, checklists, and end‑of‑year reports.
  • In coordination with other office staff, finalize and send student reports to families.
  • Develop and implement a strategy to help fifth grade families understand the timeline and general process for applying to middle schools. Become familiar with a range of middle school options and develop connections with their admissions offices to help them understand the value of a PCWS education.
  • Process records for transferring students, facilitate teacher recommendations as needed, and ensure all necessary documentation is completed and sent to other schools and/or agencies.
  • Conduct exit interviews with and/or administer surveys to departing families and compile reports for school leadership.

Support School Life

  • Participate in school festivals, community events, and other moments that reflect the spirit and seasonal rhythms of Waldorf education.
  • Uphold practices of equity, inclusion, and respect in admissions work.
  • Maintain certification for CPR/First Aid and Medication Administration.
  • Administer first aid and medications to students, as needed.
  • Uphold safety and compliance requirements, including fire, lockdown, and shelter‑in‑place drills as well as parking/drop‑off/pick‑up procedures.
  • Collaborate with the Office Manager to staff the school office, including answering phones, monitoring entry points, and responding to parent inquiries. Support class transitions as needed.
  • Collaborate with colleagues to advance school priorities by attending weekly faculty meetings, participating in committees (First Grade Readiness, Accreditation, and Events).

Qualifications

  • Bachelor’s degree
  • 5+ years of experience in admissions, enrollment management, marketing and/or other related areas
  • Strong strategic, analytical, and organizational skills, with the ability to balance vision with execution
  • Excellent interpersonal skills in order to connect authentically with a wide range of people
  • Exceptional written and verbal communication skills
  • Ability to manage multiple responsibilities with care and attention to detail

Preferred:

  • Experience in Waldorf education or a deep interest in learning about it
  • Experience in independent school admissions or community engagement
  • Prior leadership or supervisory experience
  • Current certifications for CPR/First Aid and Medication Administration
  • Proficiency with data management, search engine marketing (SEM) and customer relationship management (CRM) tools
