Responsibilities
Collect and secure rental payments
Scan daily bank deposits and verify their accuracy
Assist the Community Director with daily rate approvals in Yieldstar
Input daily activity transactions in Yardi and clear any outstanding validations
Prepare accounting records and reports, including deposit accounting and monthly close out
Verify the accuracy of move-outs for integration with the rental collection company
Deliver late rent letters and notices to vacate, and personally contact all residents with unpaid/owed rent daily
Take responsibility for bad debt collection until no longer applicable
Assist in the eviction process and follow orderly and timely local municipal policies
Enter activity into Yardi in relation to the daily, weekly & monthly checklists – including Skip Watch information (if applicable)
Assist the Community Director with Apartment Ratings responses
Help the team achieve positive SatisFact scores
Assist with leasing duties, including showing apartments and preparing leases via e‑signature (if applicable)
Maintain organized community office files
Maintain a working knowledge of laws, rules, and regulations concerning apartment leasing and management (e.g., Fair Housing, collections, evictions, towing, and pool enclosures)
Prepare accurate and complete reports in a timely manner
Handle or assist with the receipt, recording, preparation, and follow‑up of work orders to facilitate residents’ service requests
Assist in the inspections of vacant apartments and take appropriate action to prepare them for market‑ready status
Promote resident retention by assisting with the renewal program
Perform periodic inspections of common areas, including balcony/patio inspections
Report any observed maintenance problems
Assist in planning and preparing resident functions
Stay informed and comply with all policies and procedures outlined in the operations manual
Adhere to and comply with company safety policies and rules, and utilize safety equipment as required
Assume duties of Community Director, as directed
Always be courteous and helpful to residents, prospective residents, and co‑workers
Possess reliable transportation to attend meetings, purchase, and pick up supplies
Have a mode of communication for contact at home and to respond in cases of emergency
Be available for overtime, weekend, holiday, and evening work
Be willing to be assigned to other Highmark communities, as needed
Perform other duties as assigned by the Community Director
Travel and overnight stays may be required
Qualifications
High school diploma or equivalent
Mathematical skills (high school level) for calculating pro‑rations, bank deposits, etc.
Excellent verbal and written communication skills
Proficiency in Microsoft Office (Word & Excel), Outlook, and Internet
Apartment management experience preferred
Strong proficiency in property management software (preferably Yardi)
Leadership and team‑building skills
Valid driver’s license
Strong math and data entry skills
Interest in community accounting and resident relations
Drive for excellence and commitment to high service standards
