SUMMARY
The Marketing Associate supports the execution of the marketing department’s initiatives by serving as a key front-facing and operational member of the Marketing team. This role manages prospect communications, lead intake and distribution, marketing systems, and administrative processes that support the marketing department. The Marketing Associate provides a welcoming and professional experience for prospects and visitors, playing a vital role in delivering a positive first impression, maintaining accurate data, and ensuring marketing operations run smoothly and consistently.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Serves as the primary contact for incoming phone calls, online inquiries, and walk-ins, providing general information and responding to routine marketing questions.
Greets all visitors to the marketing office in a professional, welcoming, and courteous manner, ensuring a positive first impression of the community.
Collects basic prospect information and ensures all leads are accurately captured, updated, and assigned to Residency Counselors using the CRM, ensuring timely support and consistent follow up.
Maintains accurate prospect records in both electronic and hard copy formats, ensuring data integrity and compliance with internal processes.
Processes sales related activity including deposits, cancellations, refunds, transfers, and associated documentation.
Assists the Marketing Director with reporting, record keeping, and documentation related to marketing and sales activity.
Updates and manages the marketing prospect portal and supports correspondence campaigns including email communications and mailers.
Provides administrative and clerical support for the marketing office, ensuring organization, efficiency, and workflow continuity.
Supports planning and implementation of marketing programs, campaigns, and events.
Coordinates resident volunteers who assist with tours, events, home showings, and other marketing support activities.
Maintains marketing office schedules including appointments, events, and staff calendars.
Processes invoices, tracks expenses, and assists with budget related administration in accordance with approved guidelines.
Maintains office inventory and orders supplies, marketing collateral, and printed materials within the approved budget.
Serves as the primary marketing liaison with internal departments to support communication, coordination, and collaboration.
Maintains up-to-date marketing information on competitors.
Demonstrates professionalism, strong organization, attention to detail, and exceptional customer service in all interactions.
Assumes additional responsibilities as required by business needs or as assigned by the supervisor.

QUALIFICATIONS
Business, marketing or related associate degree with minimum three years related work experience or high school degree and minimum five years related work experience.
Excellent organizational, written and verbal communication skills with careful attention to accuracy and detail.
Experience in a professional office setting or hospitality environment, where excellent customer relation skills are essential.
Proficient in the use of all Microsoft Office applications.
Experience using a CRM system such as Salesforce, or the ability to quickly learn new software systems, databases, and technology platforms.
Demonstrated ability to manage multiple priorities, handle interruptions, and maintain productivity in a fast-paced work environment.
Strong interpersonal skills with the ability to work successfully with prospects, families, residents, vendors, and internal departments.
Positive, empathetic attitude and a genuine desire to assist seniors and their families
Ability to handle confidential information with professionalism and discretion.
