Secretary to the Director of Facilities & Operations

Position Purpose: Under the general supervision of the Director of Facilities & Operations, to assist in the daily operations of the Facilities Department. Essential Job Functions: Provides support for the Director of Facilities & Operations including all aspects of the department Maintains confidentiality Arrange custodial subs for employee absences (i.e. sick, vacation, etc) Process payroll for maintenance, grounds and custodial employees Responsible for Frontline forms and department job postings Maintain all records on new construction, renovations and additions district-wide Maintain department compliance with insurance and MIOSHA safety requirements Formulate and schedule department professional development and classes for certification Maintain office filing system included personnel records Responsible for ordering and maintaining inventory of supplies and equipment for the Facilities Department Interact with co-workers, administration, parents and the community in positive, supportive and cooperative ways Schedule appointments and maintain a calendar for the Facilities & Operations Department Prepares and maintains purchase orders Regular, reliable and punctual attendance Other duties as assigned by the Director of Facilities & Operations Additional Duties: Performs other related tasks as assigned. Equipment: Use standard office equipment, such as personal computers and copiers. Knowledge, Skills and Abilities: Detail-oriented and professional Proficient with Microsoft Office Suite and Google Drive. Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to speak effectively before groups of employees. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to apply common sense understanding to carry out instructions furnished in written, oral and diagram form. Ability to deal with problems that arise related to the instructional responsibilities of the department. Ability to establish and maintain effective working relationships with students, staff and the school community. Ability to communicate clearly and concisely, both orally and in writing. Ability to perform duties with awareness of all district requirements and Board of Education policies. Able to maintain confidentiality. Ability to work in an economically, culturally and racially diverse environment. Qualifications: Associates Degree, preferred; or post-secondary education in Business Administration or a related administrative field. Technical Proficiency: Advanced experience in creating, formatting, and managing complex documents and data using Microsoft Office Suite (Word, Excel) and Google Workspace (Docs, Sheets). Proven track record in high-level administrative support, including mastery of office procedures, record-keeping, and business correspondence. Exceptional organizational skills with a rigorous focus on accuracy and attention to detail in all work products. The ability to manage multiple priorities in a fast-paced environment.
