Duties And Responsibilities
Director & Team Administrative Support
Serve as the primary administrative resource for the Commercial Lines Experience Director
Manage the Director's calendar, scheduling internal and external meetings with accuracy and professionalism
Handle expense reporting and other administrative tasks for the Director
Draft, proofread, and organize correspondence, agendas, and follow-up communications
Assist with day‑to‑day operations and evolving departmental initiatives
Meeting & Event Coordination
Schedule and coordinate carrier meetings, team meetings, and client‑facing events
Set up conference rooms and virtual meeting environments for all gatherings (Teams, Zoom, etc.)
Plan and organize carrier lunches, trainings, and onsite or virtual events from start to finish
Support the planning and execution of departmental meetings and producer meetings
Prepare agendas, distribute materials, and handle post‑meeting follow‑up logistics
Document & Proposal Preparation
Assist with preparing, folding, and assembling certificates of insurance for clients
Compile and organize client proposals, renewal packets, and presentations
Ensure all documents are accurate, properly formatted, and delivered on time
Processing & System Support
Provide administrative and clerical support to the insurance team, assisting with routine processing tasks and departmental workflows
Enter and process data accurately and efficiently across insurance management systems
Perform basic calculations and data checks to ensure accuracy on invoices, audits, and policy‑related documents
Assist with system‑based tasks (Activities and similar) requiring minimal client interaction, ensuring accurate processing and timely follow‑up
Support Patra Policy Checking for the Service Team, helping ensure timely and accurate policy review
Assist with invoicing and wrap activities as assigned
Maintain organized and accurate filing systems, both digital and physical
General Team Support
Provide broad administrative and operational support to the full Commercial Lines team
Respond to routine team requests and assist with special projects as assigned
Escalate complex issues to the appropriate Account Manager or Director as needed
Maintain professional communication with team members, carriers, and clients at all times
You’re Great At Excellent organizational skills and strong verbal and written communication. Daily use of Microsoft Office products, with strong Word and Excel skills.
Required Experience 1–2 years of relevant experience.
Required Travel No travel required.
Required Education Bachelor’s degree (4‑year degree).
